Kate (00:00): For productivity, often I hear folks who are like, I’m going to write my dissertation every day. I’m going to go to the gym three times every week, or I’m going to do like X all the time. And then when they don’t do that, there’s this feeling of failure, this feeling of like, oh, why should I even try? I am not never going to get where I want to get. So in a a productivity lens, we would think of like you’re trending in the direction that you would want to go.

Emily (00:35): Welcome to the Personal Finance for PhDs Podcast: A Higher Education in Personal Finance. This podcast is for PhDs and PhDs-to-be who want to explore the hidden curriculum of finances to learn the best practices for money management, career advancement, and advocacy for yourself and others. I’m your host, Dr. Emily Roberts, a financial educator specializing in early-career PhDs and founder of Personal Finance for PhDs.

Emily (01:04): This is Season 20, Episode 1, and today my guest is Dr. Kate Henry, a productivity coach for academics. Kate was a workaholic who equated her work with her worth until her declining health forced her to stop overworking. Now, she coaches grad students and academics in how they can achieve career success in a sustainable manner. Together, Kate and I explore several overlapping concepts and strategies between productivity and financial management. We also learn from Kate what it takes to start a service-based business in terms of finances, scheduling, and mindsets. By the way, I forgot to plug in my external mic during this interview, so the audio quality on my end is pretty poor. I apologize for that, and please listen anyway, as I believe the content of this interview is definitely worth it.

Emily (01:56): These action items are for you if you switched onto non-W-2 fellowship income as a grad student, postdoc, or postbac last fall and are not having income tax withheld from your stipend or salary. Action item #1: Fill out the Estimated Tax Worksheet on page 8 of IRS Form 1040-ES. This worksheet will estimate how much income tax you will owe for 2024 and tell you whether you are required to make manual tax payments on a quarterly basis. The next quarterly estimated tax due date is this Wednesday, January 15, 2025. Action item #2: Whether you are required to make estimated tax payments or pay a lump sum at tax time, open a separate, named savings account for your future tax payments. Calculate the fraction of each paycheck that will ultimately go toward tax and set up an automated recurring transfer from your checking account to your tax savings account to prepare for that bill. This is what I call a system of self-withholding, and I suggest putting it in place starting with your very first fellowship paycheck so that you don’t get into a financial bind when the payment deadline arrives.

Will You Please Introduce Yourself Further?

Emily (04:13): I am delighted to have joining me on the podcast today, Dr. Kate Henry, who’s a productivity coach for academics, and I’m really excited to speak with her and find some overlaps between productivity and time management. And Kate, I’m just so delighted to have you on, and will you please introduce yourself a little bit further for the listeners?

Kate (04:29): Yes, thank you for having me on. I’m so excited. Um, so again, I’m Dr. Kate Henry, and I am a productivity coach who works with academics, so graduate students, postdocs, professors, and I approach my work with a lens of sustainability, a lens of wellbeing, slow living, and really making productivity more accessible, which we need in the world of academia.

Emily (04:56): And I already see the same keywords that pop up in finances as well. So that’s awesome. Give us a little bit more like background about, you know, yourself, your finances, your financial mindset through, you know, when you were growing up and then like into graduate school

Financial Mindset From Childhood Through Grad School

Kate (05:10): Of course. Absolutely. So growing up, I’m from a small town in Pennsylvania and I grew up really modeled for me was a, like a working class bootstrapping mentality, working hard and working all day was very valued and, you know, tied to worth and respect for an individual. And so I was, I did that, I worked very hard. I started working as a teenager. I actually moved out of my parents’ house when I was a senior in high school and began working and sustaining myself then. And I really carried this, um, sort of attaching my worth to my work and my output and worked very hard, had multiple jobs in college and in graduate school. So I was very intent on doing things perfectly and needed multiple jobs to sustain myself in graduate school in addition to my stipend. So I certainly, you know, um, tied my worth to my productivity and the output and really approached work with a feeling of financial scarcity, which I think had been, it’s something that I picked up as a child and then also, you know, living on my own as a senior in high school and then in college. So that certainly influenced me, you know, across decades. And I was, I’m sure that many folks can relate to this who are listening, but working multiple jobs, really trying to bring in income in addition to a graduate stipend was pretty stressful as well.

Emily (06:40): Yeah, it’s something that I do like to encourage side hustling when it’s necessary. Uh, but I’m always like trying to tell people about that time, money, energy trade off on it. Like at some points certain types of jobs are not worth it and maybe you can find something with, you know, fewer hours but higher pay rate and, but they’re all hard trade offs because it’s just, it’s a difficult time of life where you’re strained in a lot of different, you know, areas. And so this mindset of tying your worth to your work and the hustling and everything, how did that ultimately impact your health?

Kate (07:14): Well, not well <laugh> as you might expect and as many people experience, and actually I’m a productivity researcher and I publish about that. Many folks in the productivity scholarship world often come to study productivity because they have some sort of physical, mental, you know, like breakdown and hit a wall with their physical or mental health. And for me, in 2017 when I was in my PhD program, I actually developed, you know, pretty severe lower back pain and issues with fatigue and chronic illness that wouldn’t get diagnosed for three years. So I was forced to stop working as much as I had because I truly could not sit at a desk for long and I had to attend so many appointments to try to find a diagnosis or to find a way to relieve that pain that I was experiencing. So I had to halt the overwork that I was doing at that point. And in order to find a new way to still be productive, I turned to external support. So I turned to podcasts, I turned to books, self-help books, time management books, and that eventually led me to start researching productivity, which led me to where I am now in my job. But initially having to find a different way to truly be an academic and work at my desk is what forced me to acknowledge that I was a workaholic. This was not sustainable. Um, like my body stopped me from doing that overwork that I was doing.

Dr. Kate Henry’s Business Origin Story

Emily (08:45): Thank you so much for sharing that. And I know it’s gonna be relatable again to a lot of the listeners and maybe not at this point in their lives, maybe they’re still in graduate school and their youth is holding up or something, but like at some point if you work like that, you’re gonna hit some kind of wall. And so how did like all these events coming together and this mindset and everything lead to you starting your business? Can you tell us that story?

Kate (09:06): Yes, I love to tell this story. So I started researching just personally looking at productivity and time management and self-help, uh, you know, podcasts and books as I said in 2017 and found that I was really, really into it and I was doing these little experiments on my own. And at the start of 2018, I was like, I want to explore this even further. So I set a goal for myself that if I could blog every single week, trying out a new tool, practicing it, writing it up, creating how-tos for others and blog every week for a year, then I could consider shifting my career path and going into productivity coaching. And it went super well. I did it for a year and then I decided to do it for a second year. So that was two years straight of weekly blogging about this, which both increased my knowledge of what I was doing and also just helped me to share a lot of free resources for folks. So folks started to get to know me and during that time I started practicing doing some productivity coaching while I was still in graduate school. So by the time I graduated in 2020, I already was prepared to start my business. I knew I was going to officially do that. I had made the decision to not go on the job market because I wanted to start the business and I already had all of this really great content there. So I started planning for my business around two years before I actually finished the PhD. But I also knew I wanted to finish the PhD. I liked my topic, I had a great advisor. Um, but it was this really nice playground, I guess to start to develop a mailing list and start to develop clients and for folks to get to know who I was as a productivity scholar,

Emily (10:50): I love how intentional that was <laugh>. Um, and it’s, it’s actually advice that I took like from the personal finance space, like if you’re planning on starting a business, like give yourself runway, right? So like you gave yourself runway both in the sense of you’re doing those early steps that are not gonna immediately, you know, see monetary ROI but are building you up to be able to offer that, you know, in the future. Um, at the same time on the financial side, we would say like, okay, you’re saving, you know, you’re, you’re getting ready for like potential, not having as much income once you, you know, commit to the business maybe. And again, I find parallels with my story, although you were much more intentional. So I was doing the same thing of, you know, blogging and so forth about personal finance and figuring out that people needed more education on this topic that was, you know, specific to my peer group of graduate students and postdocs. Um, yet, you know, there wasn’t anyone doing it. And so I was kind of like stepping into that vacuum, but I didn’t actually plan to start a business until it was like upon me that I was starting a business. So I didn’t give myself the same intentional kinds of runway that you did, which is amazing. So for the listeners, if you’re thinking about starting a business or even honestly like doing any kind of alt ac career, like this is the stuff you start in graduate school years ahead of time to lay that groundwork, to do the internships, to do the networking, to get the experiences because you know, chances are you’re not gonna get those things automatically in the course of your time in graduate school. So, and I also love it because I think you used the word like experiment. You were experimenting with the productivity, you know, tips and so forth, but you’re also experimenting with can I become a business owner and can I be committed in this area? And it’s that same thing for anyone coming up on a career change, like go ahead and experiment if you’re not sure what you wanna do, do you know, low stakes, little, um, experiments, different things as you go along, and then it’ll help you make those decisions as well as get you ready for that next step. So I just love <laugh> that how intentional you were about that. Um, we’re gonna get back to like what your full fledged business, like what you’re up to now in a couple of minutes. And before we get there, I kind of wanna, you know, riff for a bit here on like these parallels between productivity and finances and what, you know, what a person who’s maybe more competent in one sphere can draw into the other one and back and forth and, and those things. So let’s see, let’s just go through a couple different items, like what productivity principles can we apply to our finances so that we can give them the right amount of time and attention and they’re not <laugh> taking over our life?

Parallels Between Productivity and Personal Finances

Kate (13:15): Yes, certainly I am really excited about this question. So I really approach productivity through the lens of how can we make it accessible, how can we personalize it for each person? And in that way, I think about what I would call personal resources. So this is our time, our energy, our focus, also our physical health, our mental health, our mood, how we’re doing, and really approaching our productivity in a way that goes with the flow of that. So for example, are there certain times of day or certain days of the month where it would make more sense for you to schedule time to work on a particular productivity task? Like for me, I block off the last day of the month and the first day of the month to do my accounting and do my, you know, things like that. So that’s a way I approach that. But I think in terms of checking in with your personal resources and coming up with a plan that’s not going to overtax those or cause additional stress works for productivity. So I imagine that it might also work for like certain types of financial practices that would be potentially stressful or really need more time or energy or effort. So that’s one thing that, yeah,

Emily (14:25): Uh, what that is making me think of is actually sort of using that tip as as you just, you just gave an example in the financial realm. Like I know that this is a good time of the month to be working on my bookkeeping and accounting. So that could literally be in other areas of your finances too. Like especially if you’re partnered up like having that weekly, biweekly, monthly, whatever it is, like money date with your partner or if you’re not partnered up by yourself, that’s okay to do like a general check-in. Um, I would also say figuring out, like you were kind of just saying like what is sort of easy and natural for you within the financial realm and what is gonna require you to set aside some time and put some more intention behind it. Like I’ll say for example, at this point in my life, it’s like very habitual for me to like check in on my expenses, my spending, you know, keep on track, keep on top of those transactions. What’s been new for me recently is having to do a little bit more hands-on management of my investments because I opened a new type of account and I don’t quite know everything about that company and how their website works and what I can automate. So I need to, I literally did this today I need to like set aside some time just like do some actions and also learn how to automate those things in the future. And it’s not something that’s top of mind, so I have to like put it in my schedule just to make sure it gets done because I can’t leave those things, you know, un uh, untended to forever and ever.

Kate (15:43): Yes, of course. Absolutely. I, I feel that, and that also makes me think of something else that, you know, for me when I think of like ways that things may align with our approach to productivity and finances and personal finances is like outsourcing and having folks who can help you or automation programs that can help with that to sort of lighten that load. Of course, like different types of outsourcing are going to cost different things and they’re an investment. But that’s something certainly in terms of like, what can you streamline or like, are there folks you can go to who can provide you with information that will ultimately save you time and not needing to self-teach how to do it? That also comes to my mind and that’s something I’ve done before working with, you know, hiring professionals to help me learn how to do x, y or Z or like having an accountant do my taxes instead of even trying to do it myself. Right. Like, so that comes to mind in terms of outsourcing, which I imagine is super like also happens in financial world too.

Emily (16:43): Absolutely. And I’m, I’m, I’m, I’m not gonna remember all of these, uh, points to this like acronym, but with any sort of task that comes across your plate, you can either like do it, delegate it, discard it, like there, you know, a limited set of things that can happen like for something that comes to you and within your finances. Like you gotta be careful because there are certain things that you should not delegate. Like you do really need to be intimately connected in some areas of your finances, but others, like you said, preparing the tax return, you can totally delegate that to someone else. You should take a look at it once it’s done, make sure it seems okay. But the actual process is totally fine to delegate and on a budget, you know, that’s using free tax software, that’s using very low cost tax software that can be totally adequate as long as you’re, you know, comfortable with the interface and so forth. Um, I, a lot of people feel differently about this, but I just mentioned, you know, tracking finances, tracking transactions, I like to do that manually, but I also have a tool that helps me with it. So like I use Empower, which is kinda like a dashboard. It like brings all my uh, different accounts together into one place. So I have one place that I log in and sort of check on everything and some people might even be more hands off and they don’t need to even log in that often or check that often. I like to be a little more hands on, but that’s kind of like a personal choice as to how, what’s gonna work best for you in terms of ultimately making decisions about your money. ’cause that’s what it kind of comes back to is what decisions are you gonna make and are you prepared with the information that you need to make those decisions well and that amount of information’s gonna be different for different people.

Kate (18:07): Yes, absolutely. I mean I still, I, I use QuickBooks but I also have my like tried and true Excel file that I’ve been using for like eight years that I update individually. Right. So I think there’s like different ways that I can do that in like a low tech way and also like a high tech like legit way. Um, and that works well for me ’cause I get to feel like I have, you know, I’m really engaged and I know what, what my numbers are and things like that.

Emily (18:33): Yeah, and this also goes back to our previous point about like that finding that rhythm of if you are gonna do something like manual tracking, manual updates like once a week, once a month, whatever it is, like schedule it and, and find the best time because you know, maybe late at night <laugh>, like when you’re sleep deprived, it’s not the best time to be looking uh, at your accounts. Like you need to find for your, uh, chronotype or whatnot when you’re most, um, open <laugh> to looking your finances and making decisions about that. So what is another idea that you had about some crossover here?

Kate (19:01): Another idea I had about this was thinking of like trending in the right direction. So for productivity, often I hear folks who are like, I’m going to write my dissertation every day. I’m going to go to the gym three times every week, or I’m going to do like X all the time. And then when they don’t do that, there’s this feeling of failure, this feeling of like, oh, why should I even try? I am not never going to get where I want to get. So in a a productivity lens, we would think of like, you’re trending in the direction that you would want to go. So even if you don’t do something every day, you’re still, you know, developing a habit, you’re still chipping away at it. Some is better than none. And that’s something that I like certainly see being a successful way that folks can reframe their approach to their productivity and, you know, feel better about making progress even if it’s not some idealized magical way that you know, where every, all the planets align and you always have energy and nothing goes wrong, right? So trending in a the right direction you want to go is something that I think probably has a crossover as well with finances.

Emily (20:07): Oh my goodness, very, very good point. Um, sort of like what you’re just saying, like I think the phrase I’ve heard from other people in the space is like, start where you are. Okay, let’s take a, let’s assess where we are and take a small step as you were just saying, in the direction that you wanna go. But if you are gonna like do a whole schedule makeover or a whole budget makeover and think that you’re gonna be an entirely different person being able to adhere to this new plan, uh, it’s just not realistic. And especially if that causes you to feel discouraged and go back to you know, where you started from or even like regress from that point, like that is not helpful <laugh>. So let’s take like one thing at a time and move in the right direction Absolutely. Within your finances that could be like, oh my gosh, you know, you realize you’re, you’re kind of overspending and maybe you’re going into debt or you’d, you’d rather save more or whatever and you know you’re gonna be frugal in every single area of your life you possibly can. And um, it’s just, it’s just not realistic. It’s not gonna happen. So let’s, like this was actually some fun experiments I did back when I was blogging. Let’s take like one frugal tip at a time, try it out, uh, I would say maybe for 30 days and just see what kind of time and energy did you put into it? What kind of money was actually saved for, or you know, reduction in spending from it and weigh those against each other. Was it worth it or not? And then I like that to find period of time because you have that natural reevaluation point and you can really say, okay, I’m, I’m not just gonna automatically continue this forever, I’m gonna make sure that it’s actually working in my life. And then you can eventually layer on the ones that work for you, but give it time and give it space, you know, for it to become a habit. I’ll actually tell you within, ’cause you mentioned, you know, going to the gym three times a week, uh, I am gonna the gym three times a week and I was not doing that a year ago when I joined this gym and I, I gave myself some space, like I gave myself some time to figure out if it was the right place for me, if I really enjoyed it, how could I fit into my schedule. And gradually over the course of the year, I’ve gotten up to that frequency and that might seem like a long time, but uh, I’m really happy with it now and I’m okay that it took that time because I, I got to the point that I wanted to be with it, you know?

Kate (22:09): Yes. That’s a congratulations. That’s amazing. And it like if it took a year, that’s fine. That’s like the perfect amount of time for it. That makes me think too as well, like something for productivity and I’d be curious to hear your thoughts of how this works in the finance world, but like something like developing a new habit, going to the gym or let’s say for productivity like writing or you know, like applying for jobs or whatever it might be, setting up the external accountability, whether that’s through coworking or body doubling. So I was thinking like, oh maybe you have a gym buddy or you tell your partner, I’m gonna go to the gym. So then your partner can say, Hey did you go, that’s like such a helpful thing in productivity worlds so you can have more, um, more potential to show up and do the thing because you have that external accountability. Is that something, are there like ways that like in the finance world there’s like coworking or like scheduled things that cut- with others, like I’m curious to hear what you think.

Emily (23:04): I would love it if that were a thing and I’m not very connected to social media right now so it’s possible there are things like that going on that I’m not aware of. But no, I do think there’s, you know, that taboo around talking around about finances is in play here. And so if people find accountability partners in this area, I’m suspecting they’re gonna be like their spouse, their sibling, their best friend. Like it’s gonna be someone very close or like a mentor, you know, someone very close to them already. I don’t necessarily think this is something you’re gonna find a casual acquaintance who’s willing to do this with you <laugh>.

Kate (23:37): Yeah.

Emily (23:37): But I’m just thinking that there are probably some like sub areas like doing things that help with your finances, but the focus isn’t on finances, it’s on the doing of the other thing. So I’m thinking of meal prep for example. That is something that you could probably find a community that’s supporting you in that maybe do even doing some body doubling, you know, body doubling like Sunday prep day or whatever they call it. Um, and that’s gonna have a major impact on your finances, but you don’t have to approach it with like, yeah, that’s the reason I’m doing this and let’s talk about how much money we’re, you know, not spending on other things. It’s more just like let’s do this action together and whatever positive effects it has are sort of outside of that. So I could definitely see that happening. But yeah, it’s probably, if you’re talking money, it’s probably gonna be with someone really, really close to you.

Kate (24:18): Yeah, And I probably with productivity as well, like there are like platforms where you could like do coworking with like a random person who you’re paired with like from all over the world, right? But also often things happen with folks who you know, um, but yeah. Okay, cool. Body doubling effective for productivity can be effective in ways for finance as well.

Emily (24:39): Yeah, if you can find the right pers-, the right person, yeah. To be part- with it.

Spoon Theory and Personal Finances

Kate (25:38): Now one thing, another thing that I thought of is, I mentioned personal resources earlier. So we were thinking around like everyone has their individual experience with their time and their energy and their focus. I’m also really invested in my approach to productivity working with folks who have chronic health conditions or chronic illness, chronic fatigue, long covid. And I’m thinking there around this term called spoon theory, which for folks who haven’t heard of this, um, this was coined by Christine Miserandino and the concept is that you, if you do live with a chronic health condition, you have a limited amount of energy to expend each day. So she used the metaphor of spoons saying like, you only have a certain amount of spoons that you can exchange. She said that ’cause she was out to dinner with her friend. So spoons were readily available, but really with spoon theory we’re thinking that you have a limited amount of energy units you can expend. It changes day to day. If you’re having a chronic health flare, you might have three spoons and you have to decide does one go towards a shower, one goes towards work and one goes towards, I don’t know, like warming up leftovers to eat right? And like some days you might have 10 and the concept here is that it’s a way to um, communicate with others like others who are close to you around your ability to do certain things, but also as a way that you can think of what is truly going to be accessible to you. So in in the productivity realm, I often encourage folks to think about like what is the type of day that you are having? Is this a very high focus day or is this a day where you have a migraine? How might you approach your product different productivity differently to make it more accessible? So you will like first and foremost take care of yourself but also you know, progress on your productivity in a way that feels actionable and achievable. So spoon theory can be a helpful thing when we’re thinking around what do I act-? What can I actually do for my to-do list today that’s going to be accessible and help me to move forward on my goals. So I’m curious like what comes to your mind when you think around like having to adjust your approach to, you know, your finances dependent on like if you, your health is shifting or you have much lower energy or you’re sick or things like that.

Emily (27:50): Hmm. Yeah, that’s a great question. I would say decide what are the real essentials within your financial life and what is an extra. So like I mentioned earlier, I love manual tracking. That’s an extra, I don’t need to do that at this point. It’s something I enjoy doing to a degree, but it’s not absolutely something that needs to happen. Now do my credit cards need to get paid off every month? Yeah. Mm-hmm <affirmative> that needs to happen <laugh>. So, but what I would do is I would automate as much as possible something like a credit card payment. It’s on auto. I’m never gonna forget or fail to follow through on that. So like I think it would be about like setting yourself up for those periods that you know are coming when you’re going to have fewer spoons and understanding like what is absolute baseline things that have to happen and automating as many of those things as possible and also having a really realistic sense of how much time or energy certain actions take. So like, um, I actually had a period in my life it was around, um, two years ago when I couldn’t do my manual tracking for a long period of time. I had, it was a sandwich generation situation that ultimately resulted in a death in the family and it was a difficult time and that was something that I could drop. Okay. I’d love to hear a little bit more about like your personal finance, your personal story and how finishing graduate school and becoming a business owner has actually affected your personal finances.

The Impact of Grad School and Business Ownership on Finances

Kate (29:17): Yes, totally. So I feel like I am lucky. Like I, my dad before he retired, um, ran his own autobody mechanic shop. So he was self-employed and I had this model of someone being successfully self-employed from when I was literally born. So that, like when I started a business, I of course didn’t know like everything that I would need to do do, but I at least knew like, yes, this is an accessible thing, this is something I could do and I can try. And I felt really proud to do that. And I also, when I started my business, reached out to folks, like hired a business coach to be like, what do I need to, what do I even need to know how to do? Do I need a business bank account? I really didn’t have the literacy for what you needed to do. So I learned like what’s a sole proprietor? Do I want an LLC? Just really was a beginner to learn that sort of stuff. Um, and I also was a little stressed to immediately, you know, like after my six month grace period to go into paying student loans and I have a lot of student loans. I did undergrad and then I did 10 years of graduate school, two master’s and a PhD. So that was also a real shift for me after having been in grad school for forever and not having had to pay student loans. Um, which I’ll say something about later when I share a tip. But, so my experience in my business was I need to learn like what are the things I need to know how to do to start a business and how do I navigate shifting to pay student loans? And um, also, you know, how do I sort of grow my income when I’m a bit of a newbie? So I, the first couple of years of my business I had part-time jobs as well. I worked as a tutor, I worked as a writing consultant and I did these things so that I could earn income while I was developing my books. So my personal finance experience when I started a business was that when I had been setting things up intentionally just to launch the business and to have the website and things like that, um, I still needed to be procuring that external income for a few years before I could shift to just fully earning income from my business. So that was a shift in my experience with personal finance as well. And I think from the outside perhaps people didn’t know that from the outside folks might just be like, wow, Kate’s thriving as a coach and realistically like I was working part-time as well to sustain that. So that certainly affected my personal finances behind the scene while I was developed starting to develop my business.

Emily (31:52): Yeah, I’m so glad you share that. That’s an excellent example of the runway that I was talking about earlier. So you gave yourself runway before launching the business if it, you know, in in the new way of like taking in revenue and so forth. And then you also had runway after that of like, okay, revenue’s coming up over here, but while it’s coming up I still need <laugh> some income coming in from another source. And I did the exact same thing. I worked like freelance, you know, part-time for several years after I started my business and eventually I got to drop it and that’s great. But like I was glad that it was, you know, there for me when I needed it. How have you been doing with um, I guess, you know, keeping your health in mind and of course the subject matter that you like coach in, but how do you apply that to yourself in your business?

Building a Business and Prioritizing Well-Being

Kate (32:34): Certainly. I was actually just talking to my own business coach the other day about this and we were talking about the metaphor of like, I’m sure you’ve heard of this, everyone’s heard of this, but like you have your jar with the largest rocks in the bottom and you put those in first so the pebbles can fall in the sand. And like thinking around like it’s really important for me to like approach my business where the first thing I’m thinking about is my own health. So when am I available to book coaching client calls? Like how many calls can I book in a day? What days do I need to have off in case I have to have doctor’s appointments? And really approaching my business with that stuff has to be the, that has to happen first or else I’m not going to be able to show up for my business. Um, so that’s something I certainly think about and I limit the amount of clients that I can work with and I also regularly schedule to take time off. Like if I know that there’s gonna be a busy season and I’m gonna need long weekends or need to take, you know, a whole week off or something like that, scheduling that in which I’m able to do because I have a service-based, you know, business. Um, so I’m certainly approaching it in that way. And also, you know, many of my clients, almost all of my clients have some sort of similar experience. Either they’re working parents or they’re working full-time and going to grad school or they also have a chronic health condition. So I set up my business in a way that, you know, can make things accessible to them as well. Like, so I’m thinking about that in terms of my availability.

Emily (34:02): I think one of the issues I know that I dealt with, I’ve talked with other academic business owners about this, um, that I dealt with, especially like in the first few years of my business coming out of graduate school was, um, setting pricing. Because you might think if you’ve never run your own business that you can bill 40 hours a week and just whatever you wanna make, divide it by 40 and 50 weeks a year and whatever it is and that’s gonna be your rate and it’s just so not that way <laugh>. Um, and so if you’re willing to, would you like to talk a little bit about like how you make that balance with your time but also make those pricing decisions, you know, again, keeping your clients in mind?

Kate (34:41): Yes, certainly. I’m, so this is like an excellent question. I’m so glad you asked this. I love talking about this stuff. So as a business owner, like once I started my business, I like it totally changed my mind in terms of like the folks that I work with where I’m like, oh, these people are really only making like 60% of what I, they’re billing me ’cause they have taxes, they have overhead, right? So that’s a little side note where I’m like often thinking about that now. So when I approach coaching, right, like I’m thinking of my pricing not just for the hour that or the two hours or whatever the thing is, but also like what is the extra labor that goes into this? So I think something I do that not all coaches do is I create really elaborate detailed notes for my clients and that’s something that’s going to take me up to an hour to do. So when I’m like scheduling out my day and making myself available to clients, I also have to know like that’s an extra hour where I’m gonna be looking at a screen and how many hours a day can I truly look at a screen? And so I’m thinking about like what I would call this like behind the scenes labor or this invisible labor that we might not think about when we are doing something like just scheduling for a one hour call. So I’m thinking about that in terms of how I approach my prices. Certainly that’s one thing that comes to my mind. I’m curious if there, there are other things that come to your mind as well.

Emily (35:59): Well I was just thinking that it probably was a great thing to have your parent as a business owner and being able to see how much work goes into running business aside from just the time you put into specifically the service that you’re performing if it’s a service-based business. Um, do you have any comments around like specifically like graduate students or people coming out of academia or generally being anchored at like sort of undervaluing themselves in this thing, in this, you know, um, consideration of how much to charge because it’s something that can come up for everyone at some point. Like whatever type of job you take, whether it’s in academia or later, like you’re gonna have to value your time and yourself and your skills in some manner and like, it’s just so difficult when you’ve been underpaid for a decade or more. <laugh>.

Charging For Your Services as a Business Owner

Kate (36:46): Oh my gosh, certainly. And I also think this as well, like when folks are starting a business, I know at least for me, when I started my business, my coaching calls were like $30 to $60 sliding scale an hour, right? And they’ve certainly increased since then over the years. So that’s something I think as well that like when folks are starting out, if the it is like, yes, you wanna get testimonials or you wanna build your books or you wanna get recc- yeah the recommendations or network like having a lower rate, you know, but then shifting to raise that and like I’ve raised my rates every year that I’ve been in my business. Um, certainly thinking about that and valuing that labor. And also I know for me, like there are truly, and this is one of the reasons I started a business, I cannot have a 40 hour a week full-time job because of my chronic health conditions. So I truly only have x number of hours a week that I can put towards my business and I need to make x amount of money in order to thrive. So like that affects my what I’m charging and like that affects my rates as well. Um, and that’s also something I think about in terms of sliding scale as well, like offering sliding scale. When I do that, knowing for me like what, like how many sliding scale spots I might have available or like what is the lower level that I can do in a way that’s not going to overtax me as well. Um, so that is something that I have in mind and like I encourage folks to, to think about as well, like how they can meet their enough number, how they can meet a number that can help them to thrive.

Emily (38:16): Yeah, it’s interesting like, because both of us are service-based business owners and we’re also have to apply our area of practice to our own lives and businesses like we think about a little bit differently. ’cause I don’t think as much about how many hours per week I work, I think more about how much money am I making <laugh>, you know, because, and I have that like bias, right? Because of my subject matter. So that’s really interesting. Let’s take a minute here and just have you tell the listeners a little bit more about your, your business, what you actually do with clients and how they can get in touch with you.

Kate (38:47): Yeah, of course. So I’m a productivity coach, I work with academics and my main offering is a six month productivity coaching offer. I call it, um, success and accountability coaching. And I actually created it because it’s what I wanted when I was doing my dissertation. I couldn’t find anyone doing it. And it’s a really hands-on coaching approach where we meet every other week, I take really detailed coaching session notes and share them with you and then we’re in conversation between calls. Best Financial Advice for Another Early-Career PhD

Emily (39:54): Well that is so great to hear and it’s just lovely to hear your approach to everything. Let’s end with the question that I ask all my guests, which is, what is your best financial advice for another early career PhD? And it can be something that we touched on early in the interview, I think you gave us a teaser or it can be something completely new.

Kate (40:12): Yes. So I’m thinking with this, like what I wish I had known when I was starting my PhD. That’s what I, I thought of with this was like, I wish that- I did not have financial literacy and I did not understand how things worked. I did not understand credit cards, I did not understand student loans. I did not understand how to buy a car. And um, I really do like now me wishes that back then me had like even gone to this, the financial aid office on campus and been like, can you under-, can you explain to me how student loans work? Like I wish I had known that I could have paid my student loan interest while I was still in graduate school and like things that would have really shifted that experience for me that I’m dealing with now with paying off loans. Um, so that’s something that comes to my mind is really just like, how can you access other folks who can help to inform you of things that will set you up for success, whether that is with loans or whether that’s with retirement or interest or how those things work. Um, and yeah, I feel like that all-, that’s what I did when I finished my PhD and I started my business as well, reaching out to folks and sort of, um, going towards experts who could help me to streamline and teach me things that I didn’t know on my own.

Emily (41:26): And this is not a criticism of you because I think this is absolutely natural what you did, but when you were in graduate school, those on campus resources were free for you. They were included in the whole package that was going on. And if you had asked those questions to financial aid or financial wellness or whatever it’s called on your campus, maybe you could have taken some different steps and maybe you could have, you know, learned more along the way and not have to have paid the higher price that comes, you know, in your thirties, et cetera. Uh, once you have the, the big job and, and so forth for, you know, similar kinds of advice or education or content, right? So like it’s like with compound interest, like that early investment just keeps compounding and growing and uh, if you don’t do it early, then you gotta do more later, right? So I am really glad you shared that. Again, not a criticism because I think it’s pretty much what everybody does <laugh>, but, uh, I will say that I have had the opportunity to meet many, many people who work, um, in financial aid offices in similar kinds of roles where they help students with their finances and they are lovely. Everyone I’ve met has been wonderful and approachable and just eager, eager, eager to help. Um, even in areas that seem a little bit off of maybe what they normally do. So like you could walk into financial aid and ask a question that’s not precisely about financial aid and they, they’ll either help you or they’ll point you in a direction where you can get help from someone else. Um, and you know, the more you ask those questions, the more these people on campuses realize that graduate students and postdocs need this kind of support as well, which of course is the drum that I’ve been banging for many years now. So it’s all helpful to our community just to get more attention on making those early educational investments that turn into financial investments, um, you know, early, early on in our career. So thank you so much for, um, that advice and it’s been wonderful to speak with you and I’m really looking forward to listeners getting to hear this.

Will You Please Introduce Yourself Further?

02:32 Emily: I am delighted to have joining me on the podcast today, Dr. Chris Caterine. He is the author of the new book, Leaving Academia: A Practical Guide, and I’m super delighted to have him on because we’re going to be talking about career changes, graduate students, and PhDs and academics who are leaving academia and how personal finance relates to that process. So I’m super excited. Chris, will you please introduce yourself a little bit further for the audience?

02:56 Chris: Of course. Thank you so much for having me, Emily. Again, I’m Chris Caterine, I’m a communication strategist and proposal writer for a global consulting firm. My academic career was actually in classics, which is Greek and Roman literature history and all that stuff. I got my PhD in 2014 from the University of Virginia. And as Emily said, last year I had a book published called Leaving Academia: A Practical Guide with Princeton University Press.

03:20 Emily: Fabulous. And in the book, it talks a lot about your own journey, as well as what you learned from others. And there were lots and lots of interviews which went into the book, which was fascinating. Can you just tell us like quick synopsis, what’s the book about, what do you want the reader to do with it?

03:34 Chris: The book is really designed to do two things. The first thing is that I’ll go to the practical side, which is to say, if you are in academia and you realize that you don’t have a career, a future in academia, which, you know, 93% of entering social sciences and humanities graduate students don’t, then the book gives you practical steps, just put one foot in front of the other and figure out what you need to do to find a new career. Even if you have no idea what that’s going to be. And that practical side of the book again, is good for everybody, not just humanities and social sciences, but STEM folks as well. The other side of the book is almost more psychological or identity-driven. And that’s really trying to get into the mindset of people who can’t imagine having any career besides a professorship. And what sort of, how do you approach what is ultimately an identity crisis, not just knowing what you will do, but not knowing who you will be if you leave the academy. I think those tend to drive more towards the humanities and social sciences side because there’s always been more industry outs for people in STEM. But really it applies to anybody who views academia as vocation and feels called into that line of work and realized since then, that might not be their future.

04:50 Emily: I love the way you described that. And I also loved, I don’t remember if it’s the introduction or something, but you sort of positioned what your book adds to the field already, because I don’t know if I read some of the exact same books you’re referencing, but I read the kind of book that you’re referencing, which is like a lot of like personal essays or like individual stories around careers that people have after they, you know, get out of graduate school or finish their PhD. And that’s wonderful to see examples of what’s going on, but your book is more about, okay, what is the actual like logistically, like, what is the process here? Like what do I actually do to get to that end point that I see as possible? And I really appreciated that. And of course I love, and I’m sure everybody loves that these six chapters have alliteration for all the titles to them.

Motivation for Leaving Academia

05:32 Emily: So there’s, I’ll just read them out because I have the book here. Dread, discern, discover, decipher, develop, and deploy. And I actually found I thought my favorite parts of it were actually in decipher when you were talking about, I don’t know if you use this term, but the translatable skills that you develop in academia and how they actually relate to other jobs you could do later. And I know I’d always heard that in graduate school, you have translatable skills, you can use them later, but like your explanation was just more detailed than anything I’d read before, which I found really delightful, it made me feel a little bit better about the things that I learned while I was in academia. So thank you for that. So, delightful book, and as I said it’s, it was driven by all these informational interviews that you did. And you did more in-depth interviews for the book. But I wanted to know about sort of your motivation for leaving academia. And it’s apparent from the book that finance has played at least some role in that. So would you please elaborate on that?

06:32 Chris: Yeah, really, for me, I think I began accepting that I was going to be leaving academia around age 30. It sounds a little bit cliché, but it was a big transition point, even if I didn’t want to admit it. And I was getting to that stage of life where you know, my wife and I had been married for a few years. We were thinking that we probably wanted to start a family at some point. I just remember looking at all of these jobs I was applying to, you know, I was making $40,000 a year teaching a 3/3 as a visiting assistant professor. And I was applying for jobs like that, that were apart from my wife and I was saying, well, first of all, how do we have kids if we’re living apart, that’s really work. But also like just doing the math and the salary and trying to think, okay, if we’re trying to live in two places, that’s two households, 40, 50, even $60,000 a year like this, just like the math doesn’t work.

07:22 Chris: And on top of that, even if we lived in the same place somehow, you know, solved the two-body problem, because my wife is also an academic, or still is an academic. Even if we solve that, I looked at it and said, you know, I don’t know that my wife and I would be able to give any child or children in the future, anything resembling the quality of life that our parents gave us. And when I really stared down that fact, it became very, very hard for me to cling to this idea that it’s okay to accept a certain degree of poverty or lack of wealth in being an academic. And to really say, you know what, like brass tacks, actually, I want to have some nice things, and I’m not sure I’m willing to be ashamed of that anymore.

08:07 Emily: So interesting. I mean, really what you’re talking about here is a realization of your own values as you grew, you know, towards age 30 and so forth, and realizing that the career, which is one of your values, I’m sure that aligned in some way with your values was in conflict with these other values of what is the standard of living that I want? What is the kind of family that I want? And you resolved, I assume, this conflict by having a career outside of academia that still, again I’m assuming, fulfills many of your values and so forth, but this book is about the process of finding that and landing that career. I’m just wondering, because we’ve heard the story before, a similar story before on the podcast. I’ll refer listeners to the episode with Dr. Scott Kennedy, who similar to you, came into academia, aspiring to the professoriate.

Financial Framework in Grad School

08:51 Emily: And during graduate school got married and actually had, I think, two or three children during graduate school, and realized that it was just not tenable financially and exited academia and found fulfillment elsewhere. So that was a wonderful example, but I want to know. Okay. You just mentioned, you know, as a visiting assistant professor, the $40K salary. Did you know, like back when you were in graduate school, that that was your financial future, if you stayed in academia? Or did you have like a rosier picture? Like what did you think was going to happen?

09:18 Chris: Well, in grad school, I was living on an $18,000 a year stipend. So I figured anything more than that would make me rich. I mean, I literally just thought it’s double the buying power and of course that isn’t actually the case, you know, taxes increase. If you’re living with a partner, like maybe you have two incomes, but you need more space for the two of you. The costs do not kind of move up in a linear way. And so I sort of expected that as my salary went up, you know, in a linear way that the costs would track and they just don’t actually in a lot of ways. And so, I really worked hard to live on that, that $18K a year. You know, it’s funny, I was looking at my pandemic hair, which is getting all too long in the back and I was like, man it hasn’t been this long since graduate school.

10:03 Chris: And I’m like, oh yeah. Like I got one haircut a fiscal quarter for $12 at a place, you know, a 20-minute drive away because I wanted to not put money into that and save it for drinks out, whatever it was. And so I think I just assumed that like my spending was so low that anything that I brought in would let me do infinitely more. And part of that was I was living in a low cost area. And part of that was, I just didn’t understand how those costs scaled, and part of it was that, you know, at age 22 the prospect of kids was a long way off. And then you start thinking about it, you say, oh, I have 18 years to save, you know, $350,000 for college. That’s that’s not going to work right on $40 a year. The math just doesn’t track. So yeah, I think my thinking definitely changed later on. But in graduate school I just assumed that it would be okay.

Financial Strain as a Common Motivator

11:03 Emily: And I think that, you know, you said earlier, oh, it’s cliché approaching my 30th birthday, I had all these, you know, realizations or whatever. But I think that your story, again, is common that as we age, we realize that we want a higher standard of living than what we were enduring during graduate school. And the other thing, you mention this, I think, somewhere in your book that during graduate school, I don’t believe that you were contributing to your retirement. That was something you were able to do only once you had your full-time job and so forth. And so there’s also this like sort of deferred cost, like you’re pushing off responsibility to the future for yourself. And so, yeah, maybe $40K is not actually double $18 K because you have XYZ taxes and retirement and all these other things. Maybe a house, maybe a family, all these other things you want to do. So I totally understand. And it’s the same, you know, experience that I have as well. Do you find that financial strain in academia is a common motivator for leaving academia for other people?

11:59 Chris: Yeah. A lot of people that I’ve spoken with do raise that issue. And I would say that the stories vary a lot. These are some people who say I have a ton of debt, I have nothing in savings. And you know, I’m done with graduate school in three months. Can you help me. And that’s a big ask. You know, I can give advice. I can tell you maybe how to prioritize that three months that you have, but that’s a challenging situation. For other people they see it a little bit earlier on, and maybe they realize that things won’t work out financially, for other people, especially in the U.S., healthcare becomes an issue as well. I would say that that is a big motivating factor for a lot of people. And I think as you do get closer to completing, and as you start applying for jobs and thinking about you know, incurring the cost to move for a jobs that pays you $30,000 like that’s going to cost you a few thousand anyway, you’re kind of burning negative on that deal.

13:06 Chris: I think when people start actually thinking about that or trying it out a few times and seeing how it works out, yeah, the finances do become a big issue. And especially looking at salaries outside of the academy, it’s just wild. I mean, I felt rich when I went from my $18,000 to $40,000 as a visiting assistant professor. And I didn’t realize just how small a salary that was until I began looking outside.

Personal Finance Strain on Contingent Faculty

13:36 Emily: Yeah, my husband’s also PhD and he and I went through a similar thing going from like graduate student to postdoc salary, but then realizing, oh, wait, we’re paying FICA now. Okay. It doesn’t go that far. So I’m actually wondering, so, you know, you mentioned near the start of the interview that only maybe 7% ish of people who start a PhD program will actually end up in a tenure-track job. And I think one of the issues that maybe is not discussed head-on, but certainly indirectly in your book is the problem of contingent faculty, right? So if you get the tenure-track job, then maybe you are on a decent salary path. I mean, I don’t know about your field necessarily, but I have certainly run across many citations of professors making over $100K a year and even $150K or more, but that’s not at the contingent level, the visiting level, the adjunct level. Can you talk a little bit about sort of the strain on the personal finances of contingent faculty, as they’re maybe holding out hope of this, you know this ultimate dream job?

14:38 Chris: Oh, this one really breaks my heart. And one of the things that actually precipitated my move outside of academia was working on contingent faculty issues for my professional society. So that was the first time I really started to look at what life could be like. And when you start hearing figures that something like, it’s like 54% of adjuncts qualify for food stamps you know, like I can’t remember all the statistics off the top of my head now, but I mean, the numbers are really bleak, and you start realizing like, oh my God, this is severe. And as a society, we’re essentially subsidizing these universities that don’t pay people. Like, what, why do we do this? Why do we put up for it? I think the thing that really crushes me so much now, when I talk to people in contingent roles who say, well, you know, I want to try one or two more times is that, you know, they are missing out on the opportunity cost of the situation as well.

15:42 Chris: And it’s like, well, yeah, okay. You can try to get an academic job one or two more times, and maybe you have a, you know, three to 5% chance of getting one, but all the time that you spend on those applications, all the money you spent flying to the conference interview for the job, whatever it is, all of that time and money could be put into other things that could be preparing you for a career that actually makes you happier than being an academic and gets you out from under the thumb of the system that is fundamentally broken. And convincing people that if they’ve bought into the idea that their identity is tied up in being a professor is very, very hard. And there’s sort of only so much that you can do to get people to move past that. And I hope, you know, the early chapters of my book, “Dread,” I give this dire name, title, because I’m trying to shake that sense into some people who maybe are resistant to it. But really, you know, for some people, it is just a matter of coming up and seeing what that’s like. But I would encourage all your listeners to really go out and read some stories of what contingent life is actually like financially. It’s not a good situation.

Changing Money Mindsets

18:06 Emily: Chris, I know we could stay on the subject for quite a while, and I wish we could, but let’s talk a little bit more about money mindset, specifically for you. So, you know, what was your attitude towards money, practice of personal finance when you were in graduate school, versus did it change later on as you became a visiting assistant professor, as you moved into your non-academic job?

18:26 Chris: So growing up, both my parents were trained as CPAs. I had like a pretty decent financial literacy growing up in that, you know, I knew how to balance a checkbook. I knew how to make at least a basic budget and make sure that there was more money coming in and going out and use that to sort of set my discretionary spending accordingly. So I’d been doing that sort of all the way through graduate school and had adapted pretty well to a very modest standard of living. And I was proud of doing it, and I still am that I did it, but, you know, as time went on, I think, especially with my move to New Orleans. You know, I grew up in Boston, went to school in Virginia. When I ended up in new Orleans, I saw a very different mode of life and people here definitely embrace the better things in life.

19:14 Chris: There’s good music, good food, good drink. And I started saying, wait a minute, like, why am I deferring all of that like a hundred percent? And so my wife and I had made a choice to live in a smaller apartment so that we could afford to dine out in New Orleans thinking we’d only be here for one year. Well, eight years later, here we are. So you know, geography sort of changed my outlook on what I actually wanted to be doing with my money. Not just squirreling it away in the bank, but using it to enjoy life. And I think I also ended up going from being extremely risk averse in graduate school. Just because there wasn’t that much, so if I lost any of it I felt it more, to over time just becoming a little bit more comfortable with risk.

20:01 Chris: And for me, leaving academia was actually a process of embracing risk and embracing financial risk in a way that I hadn’t before. So I had one year left on my visiting assistant professor contract and my wife and I had decided that we wanted to stay in New Orleans no matter what. And we decided to buy a house. And I was terrified of that decision, because we could afford the monthly payments for the next year, but I had no idea what was coming after. I hadn’t really built a good network. I didn’t have good leads on jobs. It was a big question mark, and I actually used that life event to sort of put my back against a wall and say like, if there’s the prospect of losing this house if I don’t figure something out, then I better figure something out. And that was a huge motivator to me. Again I was in a privileged position to be able to do that, but that was sort of the rationale was using sort of a financial tool to push me into a space where I was uncomfortable.

21:09 Emily: I think I’ve heard this referred to as like a commitment device. Like there’s going to be some real big downside if I do not follow through on my goal of X, Y, Z. I’ve heard it in a lower stakes situation than home ownership, but I think this qualifies as well. And, you know, I think what you said earlier about the opportunity cost of that particular example, the opportunity costs of staying in a contingent faculty position, doing 1, 2, 3 more cycles on the job market. There’s also a major opportunity cost to graduate school. There’s also a major opportunity cost at staying at these lower salary levels. So you said, you know, I had to think about risk in a different way. I had to be willing to take on more risk. There was implicit risk in what you were already doing, but it probably wasn’t forefront in your mind, right? Like the risk of spending years and years and years pursuing this career that was not working out financially, was never going to work out financially. But it’s so hard to see that. It’s hard to see graduate school as opportunity cost.

22:11 Chris: It is. And I think the biggest challenge with the PhD right now is really that if you want to be a professor, it is a credential that you need to get. So if you want to keep the professorship open as a possibility for your future, that is the only path you have to do it. And yet, the vast, vast majority of people who get a PhD, can’t become professors. And I think because of that tension, people do get sucked into this mentality that you just need to forge ahead. And anything that you do that deviates from your scholarship or your teaching is ultimately going to be lessening your odds of that thing that you’re working towards. So it feels like a risk-averse position to be overly narrow, when actually it’s not.

Preparing Finances for Leaving Academia

23:00 Emily: Very well phrased. You mentioned earlier an example of, you know, someone coming to you for advice who has three months until they’re not being paid anymore and they have a lot of debt and so forth. And you’re saying, oh, it’s a short timeframe. We can do something here, but let’s say that, you know, some listeners have a longer timeframe, a year or more before they’re thinking about exiting academia. What can that person do to help prepare their finances for this process of leaving academia?

23:30 Chris: I would say, you know, save every penny that you can because at a certain point, you can actually buy time. And what I mean by that is that if you have, you know, three months of expenses in the bank, then even after your last paycheck hits, you will not necessarily need to take the first job that comes your way. And if you are making a major career change, you know, from a planned academic path to something totally different, it is likely that the first offer that you get is not going to be a job you want. And, you know, I cite these examples in the book, but I was interviewing for jobs to pour samples of beer at the grocery store. I was offered a job to sell life insurance, which seemed like a really good idea going through the interview process until I stopped to think about it and then said, wait a minute, like actually this whole thing, the financial arrangement that they put before me was a scam.

24:32 Chris: And I had, you know, friends and family fortunately say like, yes, we didn’t want to be discouraging, but that would be a bad idea. And because I had some savings in the bank because I had a partner with a stable income, you know, we’d looked at the numbers and said, okay, I can probably wait three to six months after that last paycheck. And then at that point I’ll need to shift my mindset into another, take anything that’s available or, you know, begin looking outside of New Orleans and consider potentially having to uproot. But the more you can save, the more flexibility you will have to make a sort of a positive choice at that end game, instead of being backed into something that you’re not totally happy with.

Benefits of Pursuing a Side Hustle for Skill-Building

25:16 Emily: I am in total agreement. And if someone were to follow this process in your book, it’s very deliberate and it takes a good amount of time, not just like the number of hours, but sort of longitudinally for you to be able to process and understand what’s going on and make the networking connections and so forth. It takes quite a bit of time. So to give yourself that runway, it’s the same thing with entrepreneurship, give yourself a runway before your paycheck ends, or, you know, if you can give yourself runway with savings, the more you can, the less of a desperate situation you will end up in eventually. And hopefully, as you said, you can make a positive career choice. And so I really enjoyed that you talked about in the chapter “Develop” how a side hustle can further this whole process. And I think in that chapter, you were specifically citing side hustles as a way for you to sort of add to your resume, add more experiences, demonstrate your skills, that sort of thing. But I think that side hustles could probably be helpful in multiple stages of this process of leaving academia. Can you talk about the benefits that you’ve seen of pursuing a side hustle?

26:18 Chris: For me, what I will say first of all, is that in graduate school, the only side hustle I had was tutoring, which was great because it got me some extra money, but it was also a really foolish thing to do because it didn’t get me anything besides that money. Like it didn’t actually make me a better teacher. It didn’t develop any new skills. It just sort of deepened my presence in a space that I was already in. So if you’re thinking of doing that and like, you just need a little bit of extra cash. Okay, fine. But again, think about opportunity cost. How could you spend that time? Could you get, you know, more than $15 or $20 an hour tutoring to do something else? You know, in that regard, I got lucky. I had a neighbor and a close friend who had a small business.

26:59 Chris: It was him and one other developer. And he just needed somebody to help with website development and like maintaining his books and like doing all this stuff that I had no idea how to do. And I knew him well enough that he said, well, I can pay you. I think he gave me 15 bucks an hour, and he said, “you know, I know that like me giving you $15 an hour to do it is going to free up time for me to bill my clients. And it’s going to let you learn some skills. And it’s probably, you’re going to figure it out faster than somebody I’d pay $35. So I’m good.” Now I got lucky with that situation, but it was great because I brought in a little bit of extra money, but I also began thinking about, okay, how do you sell a business service to a buyer who is probably resistant to incurring that expense in the first place?

27:50 Chris: Where do you go to advertise to small and mature businesses for kind of a small salesforce.com development group. So I began thinking in all these different ways, and it turned out that all that practice talking about technology services for maybe skeptical business audiences really paved the way for the stuff I’m doing now, where most of the time I’m working on proposals for big technology for the patient. I had no idea that would pan out, but that’s sort of how it did. So I think, you know, to get back the core of the question, how can side hustles really help? You don’t know how they could help. But I think you want to use them as a way to simultaneously build new skills and make some extra money. And if you let them do double duty, then that’s great.

28:47 Chris: My wife has a saying now which is like, she doesn’t do anything that doesn’t count twice. And if she can’t kind of apply it in two places, it’s not worth doing because the time investment is just too high. So I think that’s a really good attitude to take as you’re exploring new careers, as you’re trying to, you know, make extra money in graduate school or even beyond graduate school. You know, tutoring, you know, working in a restaurant, all that stuff can, yes, get you money, but is it going to be advancing those other career objectives that you have? If the answer is no, then you might want to think again about how to balance that equation.

Career-Advancing Side Hustles

29:24 Emily: Yeah, you’re absolutely speaking my language here. I have an interview with Dr. Gaius Augustus, which we’ll link in the show notes, where we talk through this framework that I have thinking about how valuable a side hustle will be to you. My favorite side hustle, I call career-advancing side hustles. Double-duty, as you said, it brings in money and also helps you demonstrate a skill, learn a new skill, have another line for your CV, expand your network, anything like that. And I think what was interesting about your example of, you know, keeping the books for your friend’s business is that you didn’t know how that experience was going to advance your career. And it turned out it did, in retrospect. And I think that just speaks to the benefit of like trying something new. And as you said, instead of staying in the same space that you already know tutoring, you know, it’s in your wheelhouse already, try to stretch yourself a little bit and it’ll spark new thoughts and it’ll spark new perspectives.

30:13 Emily: And so, yeah, just give some new things, a chance. And I noticed from that chapter of your book, it seemed like you were pursuing this side hustle, maybe, you know, some other volunteer experience and so forth over a fairly short period of time. And you got a lot out of it over just like a few months, six-month period or something. And so it doesn’t have to be like, oh, I have to set this up and do it the entire time I’m in graduate school. No, just try something. You know, see if you benefit from it. If it’s good pay and you do, keep doing it. Or if not, try something else. Just experiment with it.

30:40 Chris: Yeah. In software development, they have this concept of failing fast. And the idea is that it’s good to experiment and try little things. And like the sooner you find out something doesn’t work, the sooner you can stop spending time doing that thing. And so, I think that sort of agile and iterative approach to trying new stuff to build career skills is absolutely the right path.

31:01 Emily: I think the other benefit is that, you know, working for your friend’s business for a bit, it gave you some language probably that you didn’t have before. Not just the skills, but just that practice, as you said, of speaking with people you weren’t speaking with already inside academia and just that diversity of experience helped you, ultimately, you know, get the job that you have, because I know you said in the book that it took practice to change the kind of language that you use the kind of speech that you used from what you were used to in academia to what was acceptable in the business world, and that exposure can help a person, you know, along with that process.

31:33 Chris: Yeah. It’s maybe expected that a communications strategists would say that like career changes ultimately come down to communication. But in this case, I really do think that that’s the biggest challenge, is just that academics speak their own language, their own jargon. We have ways of interacting with people that are different from the world outside. And until you go out there and learn how other people speak and behave, the like trying to translate is a fool’s errand. It’d be like me trying to translate Latin into Mandarin. I can’t do it until I know Mandarin.

Best Financial Advice for Another Early-Career PhD

And yeah, you know run models, figure out what you might need to have the sort of life you want to live, and use that to figure out what kind of income you would need from a job to live that life. And if you have real data that backs it up, you can be really targeted in the jobs you pursue, both inside and outside of the academy, and find a career that works for your life.

Will You Please Introduce Yourself Further?

04:22 Emily: I have joining me on the podcast today. Dr. Lindy Ledohowski. She is the founder of EssayJack. She’s also a PhD. She’s a former faculty member — we’re going to find out all about that. When Lindy and I were preparing for this episode, we realized that she has a super interesting parallel story to her career story, which is the story of how her money mindset has served her very well in some of these stages, not so well in other stages. And it’s a little bit of an interesting flip on what we usually hear. A lot of times we talk about how money mindsets we develop in academia are harmful to our finances. Lindy has found the opposite of that. She’s found some concordance with her money mindset nurtured in graduate school with her success with finances later in life. We’re going to hear all about that. Lindy, thank you so much for joining me today. I’m really pleased to have you on. Will you please introduce yourself a little bit further to the audience?

05:15 Lindy: Yeah, absolutely. Thanks so much for that introduction. I am Dr. Lindy Ledohowski. I have an English PhD. Before I was an English professor at the university of Waterloo, I had been a high school English teacher. Then I left full-time teaching and founded, as you say, EssayJack, which is an ed tech software solution in the academic writing space.

Money Mindset in Young Adulthood

05:38 Emily: That’s fantastic. It’s obvious how your business grew out exactly of your career, so fascinating. We’ll get a little bit of that story today, but really I want to focus on this money mindset aspect. What was the money mindset that you were developing in your childhood early experiences with money in your young adulthood?

05:56 Lindy: It’s actually interesting looking back in hindsight, because you don’t know that you’re developing a money mindset when you’re in the middle of it. For me I think it’s best characterized as kind of a boom and bust. All throughout high school and then my undergrad, I certainly taught during the school year. I was a busser on weekends and then I was a waitress and then I would make the majority of my money that had to last throughout the school year in the summer months. When I was a high school student that was all day long babysitting, nine to five, whereas during the school year, it might be a couple of hours after school. And then similarly through undergrad, I relied very heavily on making a lot of tips and making all that money over a full-time summer working gig, and then during the academic year, I would scale back so I could focus on my full-time classes.

06:51 Lindy: That really gave me an approach to finances that was like, make as much as you can in as short a time as possible, and then budget that surplus over a long sort of drought period. That really started to get shaped for me in my teen years and then into my undergrad. I had my first job was as a paper route when I was 11, and then it was, as I say, babysitting, and then into the hospitality industry and customer service.

07:25 Emily: Now I can see how that kind of pattern, which I think is not uncommon for young adults and people who are still in their schooling years, but I can see how that pattern could divorce in your mind work from money in the sense that you’re doing a lot of work all the time, which is the work of being in school — the classes and so forth — but sometimes you’re not doing that kind of work and you’re doing the kind of work that makes money and that’s that period of intensity of earning the money and then spreading it out through the rest of the time. As an entrepreneur, I can see how that separation of what is work for money and what is work that just has to be done to further your general development, how that can help you later on, but you developed that early on while you were still in the cycle of the academic year.

08:11 Lindy: Yeah, absolutely. You put it really well that it made that separation between work and money. And then also I think it gave me a sense of budgeting through scarcity. And also I’m not really counting on financing for things because I very early was training myself to not think about, “Oh, I have a stable monthly salary, which I will then allocate for various purchases.” I always had to make a bunch of money and then buy the thing, whatever that thing is that I wanted.

Money Management and Budgeting Strategies through Scarcity

08:56 Emily: It’s so interesting that you use that term, budgeting through scarcity. And I think when we were prepping for this, you also use the term hoarding — hoarding money during the good times and eking it out during the leaner times to get through that. What kinds of strategies were you using during those early years? How did you budget for when your income was much lower or like zero versus when that income was much higher?

09:19 Lindy: One of the interesting things, and I don’t know if this is just my own personality traits, but as you focus on developing a money mindset unconsciously, in my case, what that meant is that I very quickly began to prioritize the “must haves” and the “nice to haves” for me. I was never, for instance, really into like clothes or fashion. That wasn’t my thing. I also had an older sister whose best friend was really into fashion, so from the two of them, I could inherit hand me downs and that was more than enough for me. I don’t know if I’m particularly stylish, so I didn’t need to color my hair or all that. Those kinds of things became “nice to have” for me and even in a time when my bank account was very flush, I still never ran out and bought a bunch of clothes or did my hair or things like that.

10:15 Lindy: Whereas, books were always my passion and I could justify also spending some of that money on books because I would think of them as a longer-term investment in my intellectual future. Even if I was buying books as a high school or undergrad student, I always knew that I was going to sort of go on and do more. I loved books and that was sort of investing in myself. Similarly for me a must have, would be say traveling. Interestingly, I had a conversation with my then boyfriend as an undergrad because his attitude towards money was to invest it in financial investments. Whereas if I had a little bit extra, I’d budget a backpacking trip and I always thought, well, I’m investing in myself and how my brain is going to be broadened by different perspectives. I think that came into play in terms of creating a hierarchy of, if I have limited funds in that hoarding and scarcity time, what will I spend it on and what won’t I spend it on?

11:22 Emily: I’m so glad you gave us that insight, because first of all, I’m glad to hear that your “must haves” were not literally just like food and shelter. Of course you took care of that, but had added onto that what you considered to be investments. And it’s so interesting that you were thinking about them that way, even that early on, because as I said earlier, obviously your career has evolved in such a way that probably all those experiences, the books, especially, did contribute to ultimately like your founding of your company and everything. I don’t think that many people at that age think about investing in themselves in those ways, but you did.

12:00 Lindy: I think maybe that’s a personality quirk of my own, or maybe my good fortune. And speaking of good fortune, as you mentioned, I did have a place to live. During my undergrad, I lived at home. The deal with my parents was that I could live at home rent free and so I need to flag that because that’s just a tidbit of good fortune on my part that not everybody shares. Again, back when I was doing undergrad, so that was in the nineties, I was able to make enough money waitressing and saving my tips over the summer that I could afford tuition. And again, that’s a very different financial reality than what people are facing today. That kind of make it all and then put it into your tuition, buy books, and then also the fact that I did have that family help, means that I had a bit of a buffer and it’s fair to recognize that little bit of a buffer that I certainly had.

13:00 Emily: Absolutely. It sounds also then that you didn’t take out debt, at least you haven’t mentioned it so far during those undergrad years.

13:07 Lindy: No, no. And that was actually what the conversation was with that then boyfriend, because he and his parents took out student loans and then he and his parents had a plan for investing that money and making money on the student loans and all that. It was very sophisticated in a way that I didn’t have with my family at all. We didn’t really talk about finances in any sort of concrete way, aside from the “we love you and if you need help, we’ll help you” kind of way, which again, I’m lucky that I had people in my corner, but it wasn’t like a sophisticated financial education in those early days.

13:47 Lindy: In my young twenties, then that boyfriend, and he was the first boy I lived with, we then had to talk about those finances in terms of how we split things up financially in a shared housing. I was really sort of dumbfounded to know that he had this whole other financial reality based on the availability of student loan debt at the time, whereas I just had the neither a borrower nor a lender be. And so if I didn’t have the money, I didn’t spend it, was kind of my approach at the time.

14:23 Emily: Yeah. I like your simpler approach. For the record, for anyone who’s listening, please don’t take out student loans just to invest the money. I do not endorse this approach. It is something I’ve been asked about from time to time and it’s very risky, very, very risky. I’ll just put it that way.

14:39 Emily: That was some of the strategies you were using. What about budgeting at that time? Did you have any particular way that you were doing it, or you just found this sort of natural rhythm of your spending?

14:48 Lindy: A couple of ways. One, I definitely found a kind of natural rhythm to the spending, which is you don’t spend very much and then whatever you have leftover is the surplus for travel or for something else. After my undergrad degree where I was living at home, then I did have a proper job that had a salary and the deal with my parents was I could have one more year at home rent free, so I could sort of get on my feet. I used that to again, sort of boom and bust, to hoard that income so that I could then go and do another degree, and that was my education degree. I was more conscious of budgeting at that time, because I had a really specific target. I want to do a bachelor of education degree. I know that I’m going to have to, at that point, move away, pay for housing, pay for tuition, sort of figure out all of that. I did have a spreadsheet and tracked things, and then once I had a couple of months of the spreadsheet, I could then sort of see, okay, well, typically this is how much I spend on a given month. If I go over that, that’s a problem. And then if I can be competitive with myself and get under that, then that’s great.

16:06 Emily: I see. So you actually had a little like gamification element kind of going on.

16:10 Lindy: Yeah, absolutely. Like self gamification. It was like, can I go lower?

Income Changes and Money Mindset During Graduate School

16:16 Emily: Yeah. And so we’re kind of talking about you mentioned a second bachelor’s degree, but then of course, at some point you went into graduate school and got your PhD as well. Can you talk about how this money mindset served you or didn’t serve you during that time?

16:31 Lindy: As I just mentioned, after the undergrad, then I worked and saved money, did the education degree. Then I worked as a teacher and saved money so that I can go to graduate school. I did a master’s, which was unfunded and then the PhD, which was fully funded. I went straight through for that and I did borrow some money from my dad, at the time to do that unfunded masters, but I had a chunk saved from my education degree. That money mindedness meant that as I went through, one of the things for sure, when I was contemplating a PhD after the masters, and I really loved my master’s degree, which is what made me want to continue on and do doctoral work. But one of the absolute deal breakers was it had to be fully funded and it had to be significantly, fully funded. Not all fully funded PhDs are fully funded equally.

17:29 Lindy: I knew that any university would happily take me as a PhD if I was going to be willing to pay them, but it would be a real vote of confidence if they said, yes, we will take you, and here’s the financial commitment we’re making towards you and your success. I think the fact that was a real must have for me in the application process for the PhD came out of that money mindset that had been developing along the way.

17:58 Lindy: And then in the PhD, similarly, there’s these funding cycles. You apply for grants and scholarships and all of that at one time of the year and then it ups your funding for the subsequent years of the PhD. had five years of guaranteed funding from the university, and I immediately then upped that by various kind of scholarships and grants. And again, then was able to sort of dole out the month by month stuff when I would get a big stipend or a big award in September or January, and then make it last for the subsequent term and semester and top up. I did also do some teaching and TA work and again, that was paid more regularly, so I at least had the combination of some TA work that was paid regularly and then grants and scholarships and fellowships that came in these lump sums.

18:48 Emily: Yeah, so a combination of regular income, irregular income, larger sums, and I really liked that you pointed out the grant cycle and the fellowship applications and all of that, because that’s another example of how you work, like on an application, it’s not immediately for money, but some percentage of them presumably will work out and you can have this cash influx based on that later. For you, I think it was just probably grooving in even further, again, this boom and bust cycle and all the things that you’ve mentioned so far and work not being directly for pay, but sort of indirectly for pay later on.

19:26 Emily: Is there anything else you want to say about those grad school years? How did you come out of them financially? It sounds like you maybe were making a decent amount of money with all these sources combined.

19:37 Lindy: Yeah. Interestingly, I made more money as a grad student than I did as a high school teacher, to be quite honest. And part of that again has to do with taxation, so certain grants and fellowships and scholarships, aren’t taxable in the same way that a teaching income is fully taxed as regular income

19:57 Emily: Actually, we’ll note, because we haven’t said so far, but you’re in Canada. Actually, no, you mentioned the university name, so we know you’re in Canada. But yes, different situation in the States.

20:04 Lindy: Yeah, I was going to say, anything I say about taxes will be specific to the Canadian context. My schooling was in Canada and then my work life has also been principally in Canada. There were certain kind of tax benefits to the way that the graduate funding was set up. Everybody sort of jokes about being a starving student and I still was, but I was less starving as a PhD student than I had been as a full-time school teacher. And again, that’s just because you know, it was early days and I hadn’t sort of stuck with teaching long enough to go up the ranks or anything like that.

20:44 Lindy: The only thing that I will certainly say about my PhD experience from a financial perspective is that even that TA income that was more regular, certainly wasn’t enough to comfortably cover month to month costs. I’ve since read that you’re not supposed to spend more than one third of your income on fixed housing costs. That was never my case. It was often I was spending anywhere from 60 to 90% of what a monthly envelope was on just fixed costs. I got very good at going to every single free wine and cheese on campus and getting food. Any holiday party anybody would in invite me to. I ate a lot of canned goods and pasta, and so if I was invited to somebody’s house, it would be the produce that I’d be eating because that you couldn’t sort of buy in bulk at the beginning of the semester and have it last, whereas you can buy cans of tuna and that’ll last. That gives you a bit of a color on that PhD experience.

21:57 Emily: It also does for you and your budgeting method, I guess. Knowing that you have money in the bank, but eating this way, being this frugal and so forth, knowing that you have to make it last until the next influx comes in. I do think that gives us a good picture.

Post PhD Salary: How Having Steady Cashflow Changed the Money Mindset

22:12 Emily: Now, after your PhD, you had regular employment. You had a salary, maybe not for the first time, but maybe in a different way than you had before in your life. Tell us about that period when you were a professor.

22:26 Lindy: After my PhD, I did a post-doctoral fellowship and again, that was much the same as, as the PhD in terms of lump sums of money. Then I became a tenure track professor. That had full benefits, full salary, all of those sorts of wonderful things. But interestingly, at that point I was then married. My husband is an academic and we had jobs in different cities. And so again, the budgeting became sort of weird because we were now using our two regular salaries to spend on the monthly costs of running two homes. We had two apartments in two different cities and traveling back and forth. Then any surplus I had was on driving or flying to be in the same city as my spouse. However, what I did find in that because that was our experience, I was well-suited to continuing a bit of that boom and bust and spend the money that was surplus on travel to see my spouse.

23:26 Lindy: What was interesting for me is at the time banks were only too willing to give us financing. because we were in two different cities, I had an old 15 year old car, we were going to sell that and buy a new car so that I could safely drive on the highway. And the dealership is like “we can give you this kind of financing because you’re both professors” and I was really uncomfortable with that. We were like, “well, we have our savings, let’s just buy the car.” In hindsight, I don’t know that that was the smartest decision given that cars are depreciating assets.

24:02 Lindy: But again, at the time I was very uncomfortable with this idea of taking on something that was a month to month to month debt, because I hadn’t built up my trust in the system that money would be there month to month to month in the way that I think if you start working at a regular job early and have that continuity over time, you start to have faith that, yeah, even though you might run out of money by the 30th of the month, it rolls over and new money comes in. I, temperamentally, didn’t feel that that was the case, even though, obviously as a professor, that is the case.

24:41 Lindy: So as I say, we made the choice to buy the car outright and again, hoard all of our money and live cheaply in the hopes that we could then save up for a down payment. That’s kind of how that money mindedness — the boom and bust, the hoarding — carried over into the academic job when we were both professors and seemingly could have had a much more regular financial life. We still kind of didn’t.

25:06 Emily: I’m so glad you pointed that out because really we’re talking about whatever it was 10, 15, maybe close to 20 years of this boom and bust cycle developed by the type of income you have with maybe some periodic, yes, you had some regular income, but it was never as much compared to that irregular income. I can totally understand why you didn’t immediately have trust that the salary is going to keep coming in and so forth.

Transitioning to Entrepreneurship

26L49 Emily: So you’re going along, you have your salary job and everything, but at some point you become inspired to start your company. I’d like for you to talk about the financial aspects of that transition — did you prepare financially before jumping into self-employment or were you already prepared based on the way that you were living? Or these kinds of insights?

27:10 Lindy: Before starting the company that I now head up, which is EssatJack, and that’s an ed tech software solution, I did a couple of years of consulting. So between being a professor and starting a tech startup, I was like, “okay, this living in two cities as two professors is untenable. All of the money that we’re making, we’re spending to rent two apartments or to travel back and forth to see each other, and I just don’t see this being a sustainable future for us. Something’s got to give, and the something that’s got to give is I’ll give up this job and figure out what comes next.

27:45 Lindy: I was very lucky. Again, I secured a grant — this is apparently just how I roll. I get the chunk of money and then decide what to do with it. So I secured a grant which gave me the confidence to take a year’s no pay leave from my job as a professor, as a kind of get the first toe in the water of quitting without actually quitting first. I had this grant, I was working on a conference in a symposium and ultimately it then became a book. But what I also did during that time was I started consulting. I started taking consulting projects just to see what can I do and then that gave me a certain confidence in being able to charge for my services.

28:27 Lindy: You made a really good point earlier on in the podcast about how my mindset divorced labor from financial remuneration, which I think is absolutely spot on. The time as a consultant remarried those two things together for me, because it made it very clear that my time was worth money, so I had to a, charge appropriately for it and not do free work on the gamble that it would pay off later in the way that say applying for grants and things like that is that kind of a gamble. Secondly, I also ran into like a scalability problem. There are only so many hours in the day that as a single sole proprietor consultant, you can work. At some point you max out and you can’t charge for 27 hours a day worth of work. That was ultimately how I got to the end of my time as a consultant is that I just sort of was like, there’s more work than hours in the day for me to do it, so I need to now start thinking about what’s the next step? Do I grow out the consultancy or do I think of something else? That’s kind of how that money mindset of the boom and bust carried over into consulting and I really did have to change my approach to labor and finance and more closely see every minute I worked as having to be worth money.

29:56 Emily: Yeah, I see. You had in that narrative that you didn’t officially leave your job, but you took unpaid leave for a year, testing the waters, after securing a grant as well. I’m wondering, obviously I think anyone can see that your life at that time with your husband was untenable, that’s not a long-term solution, but I think a lot of other people still in the face of something like that of there’s this really big thing about my job that’s unsatisfactory, they still stay in it maybe longer than you did. I would like for you to just speak briefly about this transition and how you decided to do that unpaid leave versus just leaving it right away. Did that make it easier taking the half step out? And also, is there anything that you wish you had done differently in that transition from the full-time position to the consulting?

30:48 Lindy: I think the first part of the answer is profoundly gendered. Many female professionals in the Academy and other professional fields find their careers just taking off at the time where they biologically, if they want to have children, they have to. That’s the window, you kind of have to do it. And that was the case for me. I was in my early thirties as a professor and my husband and I, we hadn’t yet decided whether or not we had wanted kids. It had always been like a “maybe one day kind of conversation. But being professors in two different cities and the ages that we were made it very important for us to get some clarity around, well, do we even want to have a family because if we do, that’s something that we’re really going to have to get on sooner rather than later. What came out of that conversation was the recognition that while we still didn’t know if we wanted kids or not, we knew that we didn’t want that decision to be made by circumstance. We didn’t want to fall into not having kids because we lived in two different cities and couldn’t figure out how to do it in that context, in a way that would make us both happy and satisfied as parents or as a family. That I think helped because it was like, well, this is a huge life decision and it could happen to us by circumstance and you can never know what that feeling is going to be like down the road, if you regret it. And I certainly didn’t want to be in that situation.

32:28 Lindy: Taking the leave kind of helped, as I say, sort of give me the confidence that I could actually make money outside of the Academy, which was my big fear. I was like, “Well, this is what I know. This is what I’m good at. This is what I can do. And I like it and all the rest of it.” Being able to sort of throw my hat over the fence, so to speak, as a metaphor for then you got to go in and get your hat, meant that I then began to feel confident that I could pitch for consulting gigs. I could get them. I could do the work. It could be rewarding. I could get paid. And then that also gave us the opportunity to live in the same city, to think about whether or not we wanted a family. In the end we decided we didn’t want kids. We have a cat. She’s amazing. But I’m very happy with that because it was a choice that we made as opposed to one day we woke up and realized that that that window had closed. So that, I think, as I say, the first part of that answer is a profoundly gendered answer.

Money Management Shifts during Self-Employment

33:28 Emily: What I found really interesting in there is that, okay, so you’ve, you stated that this period of consultancy, tied your time and earning back together. Your husband during that time, I think still was salaried. Is that right? So you still had that part of your finances was salaried. How did that change your money management or did it? Were you starting to trust the salary system or were you still like hoarding and then making these investments?

33:58 Lindy: I was definitely still hoarding. As soon as I left my job as a professor and started as a consultant, I definitely got back into the hoarding mindset, partially because as a consultant, it is also very boom and bust. You have periods of intense work and then periods where you don’t necessarily have the work or you’re calling around and trying to get work, so you need to kind of have enough that you’re carrying yourself through the lean times. Particularly at the beginning, you have no confidence that the lean time will end. You do one job and then it’s lean time and you think, Oh my God, I’m never going to make money again. And then you get another job. And then over time, you start to feel a bit more confident that even in a moment when there happens to be a break, that that’s temporary, but it takes a while to sort of get through that. And every time there’s a bit of a break or a lull in projects, at least for me, I was like, “Oh my God, I’ll never work again and I’m a failure and this is terrible and I’m never going to make any money.” I certainly hoarded quite a fair bit.

35:06 Lindy: And then again, because we didn’t know in the early days, did we want to have kids? I wasn’t paying into any benefits package at that point as a consultant, I was just myself. I knew there’d be no maternity leave, so whatever the next step was going to be, I needed to make sure that we had saved and had a buffer. And again, just as I flagged, my early years, I was very lucky to have family support. I had a home where I could live and, and there were financial resources there to support me, as an adult I was very lucky to have a spouse who had a full-time job. Again, I’ve had the ability to take probably some greater risks because of that backstop.

35:56 Lindy: Other people who are in similar situations to me may also think about one person covering the costs and one person taking the risks, because I think that’s a reasonable way for two people in a financial partnership, a marriage, to plan things out. My dad always said, if you can live on 50% of what you make, so one person’s salary and bank the other, you get much farther ahead than if you spend a hundred percent, month to month to month. Again, the finances of dad, the boomer generation are obviously different from us, but I did have that message in the back of my mind for sure.

36:40 Emily: Yeah. That is a really interesting way to put it and quite true that a safety net is maybe not strictly necessary, but can make it easier and more psychologically palatable to take a risk like that.

36:55 Emily: Okay, now you’re in this period of you did this consulting work for a while, but you mentioned earlier that you wanted to scale, ultimately, and so that’s where the business, the software solution comes in. Also, to today, is your husband still in that academic position?

37:09 Lindy: Yeah. He’s still a full-time tenured law professor and he loves it, and will probably continue doing it until one day he’ll be an emeritus professor, I think.

Interplay Between Lindy’s Money Mindset and Entrepreneurship

37:22 Emily: Okay. Another question we have here is after doing the consulting and starting the business, did you start to realize that there were some mismatches between your financial mindset and how the system worked? We talked about the system of being a salaried employee earlier in terms of your employer, but what about the system of, as you mentioned earlier of financing for instance, or you’ve also brought up taxes?

37:46 Lindy: Yeah, so really interestingly, as I say, as a consultant, I was doing that hoarding. Initially because it was like, well, maybe if we want to have a kid, we want to have a buffer. And then there were also things like, well, maybe we want to buy a house, so we need a down payment. And then as I started to think, okay, well, let’s get away from a service-based business and start thinking about a product-based business, we know we’re going to need to have some savings to put into that. All of those considerations required having some kind of chunk of money to allocate towards them.

38:19 Lindy: Then it was as we started to refine those things — okay, now we’re going to buy a house. We thought we were in such a great position because neither of us have student loan debts, we have some savings. Then when we started house hunting, we realized actually what we could afford was kind of not what we thought we wanted, so that was a bit of an eye opener to realize that while we, I think very blithely and naively thought, “Oh, well, we’re sort of trundling towards a middle-class life,” we weren’t, and that was surprising. The houses we saw in the neighborhood we were looking at, which we thought were standard middle-class-y, “this is us”, we’re utterly priced out of that. That again was one of those moments where I was like, well, I need to work a lot harder and save a lot more money so that we can sort of buy a nice house or whatever the case may be.

39:17 Emily: To clarify there, was it that you weren’t making enough money to afford that kind of house or was it that the lending system didn’t recognize your income as contributing towards a mortgage of the size needed?

39:30 Lindy: It was essentially that the mortgage that we needed to secure would be based on my husband’s income, not mine, because I didn’t have…and again, you need say as a consultant, self-employed, you need years of income that you can then show and they still only take a percentage of that, that they count towards your overall income to debt ratio. That meant we were in a much smaller position. The only way to up that was we had to make and save more money, so that even though the overall borrowing amount, the debt amount would remain the same, we’d have a bigger down payment, and so the actual house purchase increased. So we paused that house hunt and I scurried around and tried to make a bunch more money so that we could have more. That’s what got us thinking and that carried over into, we were like, “Hey, I need to move from a service based business to a product based business.”

40:35 Lindy: It got me thinking about income to debt ratios in a way that was entirely new and my money mindset, which is very boom and bust is helpful. Particularly now in sort of tech and startup, you may have to spend a fair bit of money at the beginning to build the thing before the thing that you’re building is actually going to start generating revenue. There’s a chunk of time where you’re spending money, but not making any because you haven’t built the thing yet. But it also got me into dealing with traditional lending institutions. In a tech company, there is no collateral. If I want to start a restaurant, I go to a bank and I have the business plan and I’m like, “okay, I want to borrow some money and either rent this restaurant or buy this restaurant or whatever,” and there’s stuff that the bank can take back if that business fails.

41:31 Lindy: Whereas if I say, okay, here’s my business plan, here’s the product I want to build, it’s this technological product and it’s going to be built in the cloud. There is no hard good. There’s nothing a bank can take, it’s all intellectual property. While there’s a lot of value in that intellectual property, it’s not value that somebody else really can monetize in your absence. I was kind of naive about that. I thought, “Oh, well, you know, we’re building this thing. There’s this need, both educators and students need help with academic writing and there are essay mills out there where people are plagiarizing and cheating, and we are actually providing a real viable, technical solution that’s pedagogically sound, that’s built by a couple of professors, all of that. But it means that you can’t necessarily go to banks and get that funded, unless you’re willing to say, “Oh, and you can take my house if this fails.” It’s really sort of getting comfortable with a fair degree of financial risk.

42:38 Emily: I’m thinking this is where venture capital comes in. Is that something you have pursued or are pursuing?

42:44 Lindy: Yeah. We’re right now in the middle of a financing raid. We held off on venture capital for a very, very long time. We had revenues and savings and bootstraps and friends and family and loans and any grants. As I say, I’m the queen of getting grants. Any kind of, um, funding we could get without external investors in the early days, that’s what we pursued. VCs can be fantastic, but there’s also a risk in the sense that if you get them in too early, they are driving a particular business model for your business, and for us, in the early days, I wasn’t sure exactly what our business model is. Academic writing — is that something that’s going to go viral? Do we want it to go viral? Or is it going to be like a meat and potatoes business where you sign up, you get a subscription, it serves your needs while you’re a student writer, and then you move on to the rest of your life, being able to think and write critically because of the skills that you’ve learned. Or do we need to lock you in like Facebook and keep you forever?

43:52 Lindy: I was very wary of inviting other people into the company early on, lest they derail what is…My passion is to create an ethical business that is viable and that provides a real solution and isn’t a gimmick, and isn’t just out there to steal user’s data and sell it to the highest bidder. But of course, many VCs, that’s what they’re looking for. In the early days, I felt our bargaining power would be quite low, because it’d be like, “here’s my idea” and they’d be like, “well, your idea is unproven.” Whereas now, as we’re going out to investors, like, “okay, we’re selling all over the world. We have schools, colleges, and universities. We have individual subscribers. We’ve won a bunch of awards.” We’re in a much more solid position to then say, “Do you VC want to be part of this journey?” As opposed to “do you want to derail and take over the journey yourself?”

44:58 Emily: So fascinating. I’m so glad you gave us that insight. I’m sure there are probably many people in the audience who are thinking in their futures that maybe, VC or startups could be part of that. I’m really excited that you shared that.

Investing in Yourself as a Way of Financial Growth

45:10 Emily: Is there anything else that you want to add about your money mindset that you’ve been developing all these years and your financial life as a founder that we haven’t covered already?

45:19 Lindy: The only thing that I would add is that I think I have been able to take sort of a fair degree of, and I mean, it’s calculated risk, but my calculated risks are always to invest in myself. At earlier times where it was like, I’ll put the time and energy into this grant or this application, now as a startup founder, it’s “I will put the time into developing this content or this product, or pitch decks or financial business models that I’m going to present to lending institutions.” All of that work, which now again, is sort of decoupled from payment in a very specific way. I’m back in the realm where I do a bunch of stuff, and I’m betting that it will pay off in the end. And so being able to do that has always been I’m betting on myself. I’m assuming that if I put any chunk of money I have in a financial institution savings vehicle, that I’ll make small percentages. Whereas if I invest in myself, what I’m gambling on is that I’ll be able to make multiples on that investment. That has developed over time, as I’ve started to think, well, I have the personality type, I’d rather be the one trying really hard, than just handing my money over to the bank and letting an account manager invest in various funds, and I have no insight or understanding on how those work. I’m not a trained financial analyst. I still don’t understand money markets with that degree of specificity. And if I wanted to invest in that, I’d need to then rely on somebody else. Whereas if I invest in myself, I rely on myself. If I take a day off, then that’s my fault if I screw up. Whereas if I work really hard and produce results, I’m the one who benefits from that. That’s the final that I would say, is that I certainly have had to develop the confidence in myself to then bet on myself.

47:35 Emily: Yeah, this is so fascinating. And it is a very different approach from my financial approach, so I’m so glad to have your perspective on the podcast as well, because again, I think this is going to resonate with a certain slice of the audience who wants to be or is the type of entrepreneur that you are. This is really going to resonate with them. And you know, what some other people might be listening and say, I don’t want the life that Lindy has. It’s not for me. I want that salary.

48:00 Lindy: Exactly. That’s the thing that’s so clear is that if you’re going to leave the Academy or leave a stable job, I think you do need to know. If a must have is financial stability and security, then certainly don’t become an entrepreneur. If say you have the backstop of either you’ve got family money or in my case, a spouse with a job or something like that, and you have the sort of weirdo seemingly risk-taker, roll the dice kind of personality, then I think entrepreneurship is really exciting because the relationship between whether you do a good job or not is absolutely connected. Not in a day to day “did I get paid today for my work,” but in the big macro picture. The market, the world at large will tell you whether you did a good job or not.

Best Financial Advice for an Early Career PhD

49:26 Emily: Yeah. Great. And the question that I ask all my guests at the conclusion of our interviews is what is your best financial advice for another early PhD? It can be an emphasis of something that we’ve already touched on in the interview, or it can be something completely different.

49:39 Lindy: The best bit of advice is honestly to keep your debt load as low as possible, like consumer debt load. Ideally at zero, but as low as you possibly can because ultimately if you’re starting from a level position and then earning onwards, whether it’s with a stable job or entrepreneurship, you’re already in the positives going upwards. If you’re already in debt, it is just so hard to start digging your way out. So as much as you can minimize that, that would be my key advice. Learn how to get hand-me-down clothes from your older sister.

50:20 Emily: Yes. I totally totally agree, especially, gosh, for people who are in graduate school and have that lower income. If you have the option to not obligate that future income, please avoid it whenever possible. I totally agree. Well, Lindy, thank you so much for giving us this interview. It was a real pleasure to talk with you and I’m sure the audience found this absolutely fascinating as I did.

Listener Q&A: Investing on a Living Wage

Question

50:51 Emily: Now onto the listener question and answer segment today’s question was asked in advance of a live webinar I gave recently for a university client, so it is anonymous. Here is the question: “How much should I invest if I make a living wage?”

51:08 Emily: Back in season eight, episode seven, I answered a simpler version of this question, which was” what percent of income should be used for investment? In that answer, I gave my overall ideas about what percentage of your gross income should be used to invest for retirement. Now this question specifies that the person makes a living wage. So does my general answer from the previous question change at all, knowing that this person makes a living wage?

51:37 Emily: Living wage is sort of a general term, but I like to refer to the living wage database from MIT, livingwage.mit.edu. That living wage is calculated by looking at how much money a single person or a family spends on average in a variety of different necessary budgeting categories.

51:58 Emily: Let’s say you’re a single person and you’re earning the living wage for a single person in some given area of the country. What that means is that if you are an average spender across all of these different categories, you would not spend any of your wage on discretionary expenses or saving. All of it would go towards those necessary expenses.

52:21 Emily: The first way I can answer this question is if you’re only making a living wage, it’s okay if you’re not investing, I mean, of course I want you to be investing or saving or working on debt repayment or whatever your goal is, but given how much you’re being paid and how much the cost of living is in your area, that may not be feasible for you. I want you to give yourself some grace, if you are not able to invest right now, or you’re not able to invest as much as I talked about in that previous answer.

52:50 Emily: Now, let’s go a step deeper with this. I just mentioned that the living wage is based on averages. You do not have to spend an average amount of money in these various categories. The big, big one that goes into this is on housing expense, so again, if you’re a single person, the living wage calculator that I referenced assumes that you will live on your own. Just by making the one choice to live with a flatmate, instead of by yourself, you’ve already radically reduced your spending compared to what the living wage thinks you should be spending in probably your biggest expense area, overall. That one choice alone, even if you’re average in every other category might free up enough money for you to be able to spend on some discretionary expenses and start investing.

53:39 Emily: You don’t have to do this just with housing. In every one of these necessary expense categories that go into the living wage, you can strive to spend below that level. And if you did that across all these areas, you would free up quite a bit of cash flow to go towards other financial purposes. So that’s my answer. If you are making a living wage, you “should” be investing anywhere from 0% up to the amounts I talked about in that previous answer of 10% of your gross income, 15 or 20% of your gross income, depending on your age when you start investing.

54:13 Emily: But I want to leave you with one final thought, which is have a plan to make more than the living wage. Whether that is by finish up your graduate program and moving on to a postdoc or another type of job. Whether that’s increasing your income in some other way in the meantime, before you can make that career leap, earning more is the other way to circumvent this problem on investing when you only make a living wage.

This is season six, episode 11, and today my guest is Dr. Abby Rainer, a PhD in organizational communication and Lean Six Sigma Black Belt. We discuss the correct way to frame your negotiation and why that’s challenging for some PhDs, the importance of considering all aspects of your offer, not just your salary, the similarities and differences between negotiating in academia versus industry, and the biggest misconception people hold regarding negotiation. Will You Please Introduce Yourself Further?

01:22 Emily: I have joining me on the podcast today Dr. Abby Rainer, and we’re going to be talking a lot about negotiation and mindsets around that, particularly women in negotiation. I’m so excited for this topic, and Abby is an actual expert. This is related to her PhD work, and she now has a business related to this area. So, she’s going to tell us all a lot more about that. Abby, thank you so much for joining me on the podcast today. And will you fill our listeners in about your background?

01:48 Abby: Sure. Thank you for having me, Emily. I really appreciate being on here. So, to cover my background in a pretty brief term, I got my PhD from Michigan State University in 2018 and got a similar combination of a bachelor’s and master’s degree from Wake Forest. I got the master’s in 2015 and the bachelor’s at the end of 2013. So, I combined both of those degrees into five years just so I could hurry up and get onto the PhD.

02:14 Abby: I was cross-trained in several different areas that are relevant to today’s topic, including communication, industrial organizational psychology, management, human resources, and then education administration. And then areas that I trained on and did research on as well as other administrative work included areas like social support, stress, family planning, and some health topics. But then I also had a lot of business topics like specifically, if you are looking to negotiate your benefits and compensation packages. And then I looked a lot at STEM career trajectories. So, how women were flourishing and more male-dominated areas and the strategies they use to choose their careers and kind of how those paths sort of manifested for them. And then on top of, with my recent background, I have made courses for grad students on Udemy that cover areas like negotiating your benefits and compensation for grad school. And then also if they want to do more of a process improvement project on their finances, then they can find my green belt training there too, which covers a lot of very simple and straightforward ways to save money and document how you do that. It gives you a lot of tools on how to figure that out.

What is Your Udemy Site?

03:22 Emily: Yeah. Could you repeat the name of your Udemy site?

03:26 Abby: Sure. So, the Udemy is just a sort of, what’s called a MOOCs So, a Massive [Open] Online Course website and people can go to Udemy’s website and then they can just type in things like “grad school funding.” That would be a series of keywords that would bring up my training on graduate school benefits and compensation. And then they could also type in green belt, Six Sigma Green Belt, or Lean Six Sigma Green Belt and also my name. So, that should help them see where that pops up. I’ve only created one green belt training. I’ve not had more than one, so it should isolate that one particular training very quickly.

Abby’s Dissertation: Women in STEM + Negotiation

04:01 Emily: Oh good. Yeah, I wasn’t sure if it was going to be under like your name or like a business name or something. Abby, what’d you tell us a little bit in more detail, what was the subject of your dissertation?

04:10 Abby: Sure. So, I kind of in connection with what I was talking about earlier, I had done research on women in STEM careers and then work on negotiation in general. Like I gave some presentation work on hostage negotiation and terrorism, and this is a very different type of negotiation, but having a background, like a family background in finance, I kind of wanted to combine all those areas and some finance research I had done and specifically look at how women going into STEM careers, specifically their first STEM careers, how they negotiated not only their salaries, but really other types of compensation they could get like their health care packages, how much family time, like leave they had for, for instance, caring for children, and then other areas like bonuses and just work assignments as well.

04:56 Emily: And what drew you to that area? Why did you choose that for your PhD work?

05:01 Abby: I chose that because there was a lot of work that involved experiments, for instance, that created hypothetical situations, but these women were real-life women who had actually gone through actual negotiations in different companies across the United States. And so, I wanted to get a sense of reality. I wanted to see what women were actually going through and I collected a mix of quantitative and qualitative data. I used most of the quantitative data for the PhD sort of dissertation part, but I also created a series of questions in the survey that looked at, for instance, what were the descriptions of the negotiations actually happening, like who was involved in the negotiation? Did they say anything that was maybe discriminatory or that showed some sort of bias toward the women? And so, really looking at those areas, I started to pull some data on things like how much training impacted different outcomes, like how much money women were thinking of walking away with, or how much they actually walked away with.

05:59 Abby: And then I also looked at about 20 different benefits that women were able to get during negotiations, like a series of negotiations, and which ones they tended to get, so I could isolate different trends as to what people were more likely to walk away with other than just the salary being increased.

06:16 Emily: Yeah. I love that you actually took this forward into, let’s not just look at what’s going on, but what interventions are possible to actually help the situation a bit. That’s great. And I’m sure that we’ll talk more about that in a minute here, but just for the listeners. I mean, Abby obviously is an expert in this area. She has a lot to say, so we’re going to move really quickly through a few different questions in this interview. Role of Mindset in Negotiation 

06:48 Emily: So, okay. I have been talking more and more recently about mindset and about its importance in personal finance. And I know that you also know something about mindset with respect to negotiation. So, what role does mindset play when you’re going into negotiation?

07:07 Abby: I think that mindset has everything to do with not only how confident you are, but also how effective you are. And you have to monitor how you are coming across in an interview so that you have to develop that sense of mindfulness. That way you can do what’s called pivoting. So, pivoting will be that you notice that someone’s not responding particularly well to a negotiation tactic, like using too much silence, for instance. You can turn the conversation around and ultimately start executing a series of steps based on that reaction to get what you want. So, you have to really stay in the present with the conversation, that way you’re able to assess the situation ongoing.

07:40 Abby: And you’re just able to create new strategies or choose ones that you already have in mind as you go along and just keep responding to what’s there, not what’s going on in your head and not what you think should be happening.

How Can PhDs Overcome a Scarcity Mindset when Negotiating?

07:50 Emily: I see. So, kind of what I’m hearing is what happens in negotiation is not totally set, linear, this is the exact script kind of path. And you have to be kind of adaptive to what is going on in the situation. And how can a PhD–like I know a lot of PhDs come into this whole post-PhD career thing with a lot of hangups that they developed in graduate school, around money and around their worth and so forth. And, you know, we might even call this like a scarcity mindset, or like a poverty mindset. And so, how does a PhD set that aside when they’re going into a negotiation? Like how do you actually overcome that if that’s what’s happened during graduate school?

08:31 Abby: I think that one really good way to look at it, especially if you were going into a non-academic job or if you were going into your first professor job and you’re not really sure, kind of where you stand compared to other people is, think through how to calculate and communicate your ROI or return on investment. That’s a very important business term not a lot of PhDs really think about or know how to calculate or communicate. But whenever you’re in a negotiation, let’s just say, I’m going to use a real life example of mine. I was interviewing with a major retailer, specifically in the jean sector, once for a job. I had to fly out to a different state to do that. And as I was there, I talked with, I think about 10 to 20 people.

09:11 Abby: And just one day, I had a series of individual meetings with some people, like higher-level directors, and then a larger lunch with a smaller group of people who were lower-ranked. I think they were maybe talent recruiters or something. And so, what I learned while there was that people wanted to hear how you were able to contribute to the table in ways they understood. So, with that particular case, I was interviewing for a jean company. So, some language to use when communicating my ROI would have been things like “best-sellers.” Like if I wanted to predict who was going to be engaged in a company over time, so looking at employee engagement, how to improve that, I could say the five best-sellers or in more or less research terms that grad students might understand, the five predictors of work engagement would be, let’s just say supervisor quality and four other things.

10:03 Abby: So, learning how to speak in ways that people in industry understand that don’t necessarily rely on statistics, because a lot of them don’t really know very much, if anything, about statistics is a good idea. And you can apply that mindset too if you’re applying to academic jobs like being a professor or a postdoc. You just have to know, for instance, let’s just say for ROI, you wanted to calculate how much grant money you’ve brought to the table when applying for different grants, or how many students you’ve taught, or ways that you’ve saved the university money. Other things like those can be communicated in a way that’s specific to your department or organization and what they care about. So, match what you’ve done to what people care about, and communicate it in a way that uses industry-specific language that they understand. And you should be good to go and sort of like start to defeat that poverty mindset over time. Because you can physically see–you can’t really contradict numbers in that case–you can see on paper, “Okay, I’ve done a hundred thousand worth of grants in one year. That’s a lot of money.” So, just starting to visualize that, but also learn how to be precise is important.

Focus on Thriving, Not Just Surviving

11:07 Emily: Yeah. What I’m hearing you say in this portion is like, I think part of the problems, and these are universal outside of academic training or whatever. Some people, a lot of people come into a negotiation thinking, “What do I need to survive? What kind of salary do I need to command to have the lifestyle that I want?” And coming out of graduate school, it’s probably not a high number because you’ve probably been living on a pretty, pretty low salary for the last several years. And you’re reframing this not as, “Okay, well, what do I need to get by?” But rather, “What value am I bringing to this organization? What metrics, what proof points do I have to back this up?” And also the further step of, “I need to communicate this to them in a way that they’re going to latch onto and appreciate,” not necessarily your most natural way of communicating. Does that sum up what you were saying?

11:55 Abby: Absolutely. And what a lot of people have to think about is not really putting themselves of “How much money do I need to survive,” but, “What is my, what’s called, market value?” So, when you look at market value, it’s a completely different mindset from what you’re taught in grad school, because the norms in your particular field, like if you’re going into tech, the norms for salary and benefits will be different they. Somewhat depending on the company, but also compared to other industries. Like if you work in manufacturing. So, you have to just consider those differences. But also you have to think of the whole negotiation as a win-win mindset. So, it’s not just about what can I get from this company. You have to think about me, myself, and family, because realistically speaking, and I know this is kind of harsh, but a lot of people, and especially in HR, will, if people say something in an interview, like “I need this much mind to live,” unfortunately they’ll just tell you perhaps even bold facedly, they don’t care, you know, what you need to survive, which it knows is harsh and I would never–I’m in HR.

12:48 Abby: So, I would never say that to an applicant. But really the company just cares about what you can bring to the table, because the implication of you bringing things is that they will take care of you in turn. So, you don’t really have to communicate, “This is what I need.” You have to show them based on, for instance, your certificates, what your capacities are, just different software and other skills that they find relevant. You can use all of that to get more money because you are clearly bringing more to the table. They’ll be generally more willing to pay for all those skills. Because especially, at least in my case, for instance, I bring a lot of really rare skill sets to my particular job. And I got that job through a contract. And so, you know, just being able to show what all you bring that will help the company give you the money and you won’t have to worry about surviving as much. You’ll be able to think about thriving, which is completely different, as far as the psychological response goes. Survival schools, more of grad school, it’s just the bare minimum. What can I possibly scrape by? With industry, you should present yourself as what can I do to thrive and help people at work thrive and just kind of frame it like that.

Big-Picture Negotiation Items Besides Salary

13:47 Emily: Yeah, so this is really, you know, taking a step back from being very me, me as the applicant, very me-focused and more about what am I bringing to this organization? What other big-picture items should applicants be thinking about when they’re going into a negotiation process?

14:02 Abby: I think that one of the big ones that a lot of people don’t really particularly talk about, and sometimes I’ve heard in even other podcasts, maybe discourage a little bit, is thinking about what’s called the total reward lens. So, the total reward lens, if you think of the big pie, for instance, like the kind of pie you can eat, not the number. If you think of a pie and you think of all the possible pieces that could come out of it, those are all interrelated, but they’re also their own separate entities once they’ve been cut out of the pie. So, they’re able to be standalone items. Whenever you think of a total reward lens, whenever it comes to getting what you want from work, you have to think of that kind of like a pie, too, because salary is naturally going to be a big part of that pie for a lot of people. But you also have other pieces of the pie like your healthcare, which projects you can work on, the quality of your supervisor.

14:51 Abby: And then some other areas like how much autonomy do you get? Or how much natural light does your office get? And those pieces of the pie in terms of their size or their weight, depending on how you want to think about it, are all different for different people. So, you have to think about, “If I were to make my ideal pie, what would that look like in terms of where all the pieces are and how much those matter relative to the overall sort of picture that I’ve got going on?” Because different people are going to have different needs. If you’ve got a parent who’s got young children, then maybe flexibility might be more important for them. Or if you have someone who’s more into work-life balance, like they want to go ski on the weekends, then that might be very important to them, too. But it might not be as important to someone who maybe like myself is single and doesn’t really have to take care of kids, at least right now. So, it really depends on your specifics. So, you just have to like define those numbers for yourself, but also realize if you don’t get a bigger part of the pie focusing on salary, maybe you could get a bigger part of the pie that would focus on another area or two or three other areas that you also care about.

Is Everything Open for Negotiation?

15:53 Emily: Yeah. I think this is an area that people definitely don’t pay enough attention to. Like you were saying, it’s kind of all about the salary, but there are so many other aspects to your benefits or just your work culture and work style that should play into your decision about which kind of job to accept and also what to negotiate. So, would you say that is every piece of this pie up for negotiation? Or like where might one focus your negotiation if you’re not quite happy with all the different pieces?

16:22 Abby: A lot of it depends on the type of job you have. So, for instance, if you are working in a government position that is governed by a shared contract, like a collective bargaining agreement, for instance. Then certain areas of your package, like the initial salary may very well not be negotiable. I actually had to tell, whenever I was hiring people, several individuals who applied, this is part of the collective bargaining agreement. You can’t negotiate it. Over time, you can perform better and get a bonus that way. But at least with this contract, your salary, at least your base, is set. So, if you want to get more money over time, it’s really on you. You have to perform in terms of exceeding expectations. And then you can get more money that way. You can also get other money by doing other tasks that the job would be open to.

17:08 Abby: So, for instance, if you did overtime, that might be something that you’d be able to get more money from, but it again depends on whether that’s available. So, those are some examples of what all you could do besides money. And then, of course, you have to think about too, what other options are available? And most places have a lot of different options when it comes to healthcare. For instance, you might have a lower deductible, and that works for you whenever it comes to healthcare, compared to someone else who wants to have a higher deductible. Or you might want to put more money in your 401k, like a retirement account, or, you know, the company might match whatever you do put in. So, you just have to look at/get sort of an initial view. If you can, if there’s an employment handbook, that will usually tell you different things like the possible packages available, the benefits, like maybe gym membership.

17:53 Abby: So, try and look there first. And usually those come through websites, they might be coming through HR. Like HR might directly send you them. Once you get your initial offer letter, just take a look at not only the offer letter, but the information they send over through those handbooks. A lot of people don’t even bother to look at those handbooks, but they’re very useful. So, I would just say, take a survey of what you’ve gotten initially. And then if you’re not happy with something, think about, “Okay, what could I bring to the table in terms of ROI to argue why I should get that thing?” So, it’s not like, most places are not going to have a huge conversation about negotiating healthcare. You go on and enroll yourself. So, that’s kind of a proxy for negotiation, but if it’s something like maybe extra days off, you would want to be able to come up with an argument to justify that. Personally, from an HR standpoint, I wouldn’t start from the job like day one saying, “I want more hours off.” I would wait until over time, maybe six months once you’ve had a little bit of tenure there, to propose that. But it just really depends on your situation. Try to take into account whatever information you do receive. And if you have questions, of course, ask at that time into your discussion, depending on your situation.

How Employee Training Benefits the Employer

19:50 Emily: I want to mention one of the things that my husband actually negotiated for when he took his current position was, I guess you would call it, like training. So, like professional development. Maybe it’s something like, it’s not clear whether that actually like increased, you know, what he was going to get anyway, but it made it more explicit to his employer that he was looking to advance his career. And this is how he saw, you know, that he wanted to do it. And they said, “Yes” to it. Like, “Yes” to his proposal. So, I would imagine that would apply in a lot of other places, maybe where negotiation on salary or something else is a little bit more rigid. But you know, you can set yourself up right from the beginning to, you know, to seem like a go getter, right? You’re going for a promotion like right away, you know, you’re eager. You’re going to be growing your career. You want to grow with that company and how can they help you do that?

20:37 Abby: Right. And one of the things that you want to communicate whenever you’re proposing for something like more training is what kind of value that would also bring to the company, because that will set you up. For instance, one of the trainings I received during my government job, my last job, was that I was able to become a Lean Six Sigma Green Belt and a Lean Six Sigma Black Belt. And a lot of people might not know what those are or what they mean in terms of quantities, but in the process improvement area and finance and some other areas, those are very well sought-after certifications for people to have. And you can bump up your salary over time by anywhere from 5,000 with green belt to maybe 20,000 plus with a black belt.

21:13 Abby: But at the same time, you’re also able to save companies a lot of money because you’re able to go in, create change interventions, lead people through those interventions, and then identify ways that your group can maybe devote money to other resources. Like if you’re spending too much on training, for instance, and you could maybe cut costs or reallocate those costs, then maybe you can use that money to give people higher bonuses or something to that effect. So, as you’re proposing that increase in training, definitely make sure to communicate how that would benefit the company too, because in some way, shape or form, it probably will. You just want to make sure that people understand what that is from a very early standpoint. That way, you can frame your training as, “Okay, I propose there are five key goals that I’m going to get out of this. I’m going to go in, get those and I’ll show my team whatever those things were.” That way I can make sure I’m consistent with what I promised.

Negotiation in Academia vs. Industry

22:00 Emily: Excellent. So, I imagine we have people in the audience who, you know, they’re hearing your talk and you’ve mentioned industry a lot so far. But many of my listeners may be, you know, gunning to stay in academia. So, is the process of negotiation different, the same between those two different types of workplaces?

22:20 Abby: I would say that some of the behavioral norms and perceptions are very different. Because when I was in academia, I was in grad school and then I negotiated for my negotiation packages, like my benefits and compensation packages. And so, the first time I did it, wasn’t really negotiable as we were kind of on a collective bargaining agreement. Again, meaning that we all just had the same benefits and compensation. Like our stipends were all the same, and there wasn’t really a step-raise as much. But a lot of people in academia can negotiate quite a lot, too. And I would say that one of those critical parts of you negotiating, whether you’re a faculty member or a grad student of any level coming in, is that make sure you go do a campus visit. If you’re not invited to, definitely make sure you go do one. Because you want to get kind of a survey as to what your office area might look like, what the different resources like laboratories for instance are or libraries, and really how the people are, too, and kind of how everything is arranged. Because what I’ve noticed over time is that the way a department is arranged in terms of its space, its people, and its resources will tell you a lot about how you’ll fit well there or not.

23:23 Abby: So, for instance, I went to whenever deciding between two different PhD programs, I decided which one based on the visit that I went to with each one. So, whenever I went to grad school A, Choice A, I noticed that for instance, the offices had no windows whatsoever. And that’s very common in a lot of places in academia, especially if you’re in a much larger, more kind of cloistered building. And I was thinking, I’m definitely the kind of person who needs natural light. And that might not sound like a big deal to many people. But when you’re in an office for three years, constantly working on high-stress projects, maybe dealing with students who have a lot of problems and then other people who come in with different requests, you want to make sure that you have an office that’s inviting to at least some extent.

24:08 Abby: And so, I thought a natural light kind of office would be better for that. That wasn’t as big of a pie piece. Getting back to my pie analogy earlier, compared to the travel stipend that I got, for instance, but it definitely was important. So, use the visit that you get to kind of determine what you need to negotiate and think about because you can actually get a lot more by going to visit. Because whenever I went to visit, I got an extra, I think it was 4,000 at the start, from Place A compared to Place B just by contributing during the discussions that people had about, you know, why you want to become a grad student here and so on. And you’re able to meet people and add value to them. And that’s the key thing is make sure you add value that way. People are more likely to give you things in return because you can leverage that powerful principle of social reciprocity, which is if someone gets something from you, they’re more likely to give back in return.

Virtual Campus Visits

24:56 Emily: So, we’re recording this on March 23rd, 2020. And I think all PhD grad visits are probably off at this point for the remainder of admission season. Now, we’re actually going to publish this episode, I think after April 15th. So, after all the decisions have been made. But I’m just thinking about for students in this current situation, or maybe in future years when a visit is not possible for whatever reason. Of course, it’s ideal, but if it’s not possible, how can an applicant as a graduate student, or even at a later stage, get a sense of these things remotely, somehow? What do they need to do to create a facsimile of an actual visit?

25:36 Abby: Sure. So, there are different options. And I think that departments, if any faculty are listening, I would highly encourage them to explore this option. I’ll really just lay out two quick options. One would be to see if there’s any way–some departments already do this, depending on the school and the department you’re in, some don’t. Some departments offer digital tours. So, if students cannot come for whatever reason, they might have someone doing kind of a vlog of the laboratory, that might be something that’s interesting and valuable to you. And maybe you can live tweet them while you’re doing that. It really just depends on who all is leading that. Another option would be to, and you probably should do this in addition to option one, if you can. But another option would be definitely talking about your office setup and other things with faculty and grad students. Grad students would be more likely the safer option whenever it comes to communicating about what their offices are like. Faculty may very well not know anything about what current grad students are doing with their offices.

26:28 Abby: A lot of places do publish things about their grad student groups. Like who’s the president, VP, finance person, so forth. I was the finance chair with my group. But try to get out to reach that person, and they will probably connect you. If they don’t know something, they will connect you with someone who does. So, I would follow those steps. And then also just if the place has a Facebook group, for instance, definitely see what all people are taking pictures of there. And really over time, I would just say, try to ask a lot of really good questions. Because faculty and grad students love it when someone not only praises their work that they’ve been working on, but they have a mutual interest in, but also they appreciate someone who asked really thoughtful questions about things that they care about, too. So, I think if you frame it still as a win-win, like I’m giving this person a valuable, interesting conversation and they’re giving me information in turn that’s useful, I think that that will help you come across a lot more effectively. Because email conversations were very instrumental for me, too, whenever applying to grad school and deciding between different schools as well.

Misconceptions Around Negotiation

27:25 Emily: Yeah, I think if at all possible those conversations should happen over the phone or over video conferencing. Just because if a grad student, for instance, has anything not so nice to say about their department or their advisor or their group or whatever, they’re probably not going to want to put that in writing. So, it’s much better to speak live and not in a recorded fashion when you’re having those really candid conversations with current graduate students. So, thank you so much for those thoughts, Abby. And finally, can you clear up any misconceptions for us around negotiation and negotiation strategies?

28:03 Abby: I think that one of the biggest ones that I didn’t really think about early on, but started to realize over time, and then of course in retrospect, see a lot better is that a lot of people worry about negotiation if they don’t get it right the very first time–like their first semester right as, for instance, they’re getting into grad school or right as they’re becoming a professor or an industry professional–that they’ll never be able to do negotiation over time, or they’ll never be able to get it right. So, there’s that kind of fixed mentality of, “If I don’t get it now then I never will.” And that’s not necessarily true because the truth is that your job is very dynamic over time. People change. Sometimes departments get reorganized as we’ve seen more lately, whether you are in academia or in industry. Sometimes entire companies get reorganized to where their benefits and compensation structures change.

28:46 Abby: So, always be aware of what’s going on in your organization or in your grad school or your department, if you’re a faculty member or person wanting to join that. And just keep aware of the changes going on. That way, you can see different opportunities. Also make sure to realize that you are still, no matter where you are in your career, adding some sort of value, like a service, to your department or a company, for instance. So, keep abreast as to what ROI you are bringing to the table. And you can even keep, for instance, like a shout out sheet. I know a lot of people will use that. So, it’s like a list of all those accomplishments you have, what value that’s added, like making employees more engaged or improving organization, like even organizing a closet or like an area of the office where people store papers or files can be very useful. That may or may not be in your job description, but it depends on your situation.

Negotiation Can Happen Over Time

29:36 Abby: So, just realizing that negotiation doesn’t have to be a one shot, do or die, black and white kind of mindset. It can be over time. You will get many, many different chances to negotiate your worth or negotiate your package and everything. Because for instance, whenever I went into grad school, the grad school I chose for my PhD program had a lower stipend than the one that was offering me a package in return. And the reason I chose that other one was just that it really seemed to fit more with what I was hoping to do regarding the research methods path I wanted to go on, regarding the kind of set up of the department, and some other factors. But what happened was that over time I actually got, I think it was 15,000 extra dollars from that department during my three years there because I got 3,000 extra dollars in conference funding that I didn’t even have to apply for. The department chair just told me I qualified for it based on how I was a domestic student.

30:31 Abby: There were other things like consultant contracts which I was able to get and work on that brought in extra money. And then there were some other things too, like dissertation grant money that I got a lot more of there than I would have at the other place. So, I actually ended up kind of starting from a lower place at that Choice B university or not really Choice B, but Option B, and then working my way up to where I got actually a lot more money, pretty much almost a year’s worth of extra money, for only going three years. So, it doesn’t have to be like a one shot kind of picture. You just have to think over time, how can I find ways to negotiate? And if people want to read an area of IO psychology that deals with this a lot too, but not necessarily in money terms, they can look at what’s called the job crafting literature. And so, job crafting will show you different opportunities that you have to negotiate and it’s got four different categories and several of those papers. Very useful.

31:31 Abby: Sure. Best Financial Advice for an Early-Career PhD

31:59 Emily: That’s excellent. Thank you so much. And I always conclude my interviews with this question, which is what is your best financial advice for another early-career PhD? And it could be something that we touched on today in the interview, or it can be something completely different.

32:13 Abby: I would say that my best financial advice would be, and one of my early advisors told me this as well, is that if you do anything regarding finance, make sure to get it in writing and to make sure it’s in very clear writing. Because sometimes especially if you’re in a company or in grad school, people will promise you things like working on projects or grant money, but they might not be very upfront about it, or very clear as to when you’ll get that money, how, and so forth. I break a lot of this down in my Udemy training on funding for grad school, but just make sure that you get everything–the who, what, when, where, why and how–very clear, because you want to know exactly where your money’s coming from, why you were getting it, how it’s going to be dispersed to you.

32:56 Abby: And if you need to return part of that for any reason, like if you’re writing a grant, how you do that. Just so that everybody is very clear about what expectations are and there’s no fuzzy area regarding what needs to be done and by who.

33:09 Emily: Yeah, I think that’s excellent advice. And it’s also not even necessarily people being like underhanded and like purposefully leading you on or whatever. Sometimes people are just forgetful. And especially, you know, like in graduate school, faculty members, they’ve got a lot on their plates, so it really is better for all parties to be really clear and put it in writing, as you said so that everyone’s on the same page about what’s going to happen and when and so forth. So, thank you so much for that advice. And thank you for this interview, Abby.

33:36 Abby: Yeah. Thank you for having me. I really appreciate it. And I hope that people find this very useful because I didn’t know any of this before grad school or my time in academia. And some of it, I didn’t even know before my time in industry, but now that I’ve kind of been in both worlds, I see a lot of things that maybe I wouldn’t have before. And they can do that, too. It’s not just, you have to have a background in finance. You can do it regardless of where you’re from.

33:58 Emily: Absolutely. Negotiation is a topic that I don’t know as much as I would like to know about it. And so I’m highly interested in getting more of this content out to my audience. So, thank you so much for providing it.

How Work Experience Outside Academia Can Bolster Your Academic and Non-Academic Career

Throughout her career as a computer scientist, Gillian has moved back and forth between roles in academia and industry; she argues that the division between the two is more porous than is commonly perceived inside academia and should become even more so for PhDs. Will You Please Introduce Yourself Further?

01:31 Emily: I have joining me on the podcast today, Dr. Gillian Hayes, who is a Vice Provost and Dean at the University of California at Irvine. We’re going to be discussing side hustling and career development, both what Gillian has done in her own professional development and how she works with students on the same subject. It’s really pleasure to have you on today, Gillian. Will you please introduce yourself a little bit further to our audience?

01:55 Gillian: Sure. Thanks so much, Emily. I’m so glad to be able to be with you all today. I think you’re doing a wonderful service for our students. Just some quick background on me. My training is actually as a computer scientist. Both my undergraduate and PhD work was in computer science. I have a lot of background in working in industry and other places that I’m sure we’re going to talk about later. And the bulk of my research is actually focused on how do we help people who may not be included in the tech world, normally — so kids, underrepresented groups, elderly individuals — how do we help them get involved in the design process and really make responsible, ethical technologies. Here at UCI, since September, I have taken on the role of Vice Provost of Grad Education and Dean of the Graduate Division, which is a very long, convoluted way of saying that I get to be in charge of all the grad students here on campus and help them be as successful as they can be.

02:54 Emily: Yeah. So one big component of that is not only academic success, but success in their future careers. Obviously it reflects very well on your university and program if people go on to have careers success.

Career Path: Grad School to Faculty

03:06 Emily: Let’s start talking a little bit more about your own personal journey. Can you talk us through the work experience that you had prior to graduate school, if any, and then the side hustling that you did during graduate school?

03:18 Gillian: Yeah, absolutely. I should confess, I’m the child of two academics. Both have doctorates, were professors, so I understood academia in a way that I think, it’s important to contextualize the kind of privilege that comes with that. I think I always knew I wanted to go do a doctorate at some point, but beyond that, I was deeply confused when I finished undergraduate and I didn’t know what to do. And I did like all people who don’t know what to do and I went and worked for Deloitte, and sort of got the basic training of how do you be a consultant? How do you be a professional out in the world? I then worked for another company called Avanade, which was a spin-off of Accenture and Microsoft at the time, and just spent a lot of time learning the basics of being a professional before I went back to grad school. Then, while I was in grad school, I also continued to work. I’ve sort of, throughout my career, had this one foot in academia, one foot in industry kind of life. I worked for both Intel and IBM in internships. I also had a side gig driving the golf cart that serves people beer at a wonderful golf course in Georgia called Chateau Alon, which is probably my favorite job that I had in grad school. And then did some additional consulting for a company called Roundarch. So that was sort of all what I was doing while I was in grad school and before grad school, and I think they were all great experiences and can’t recommend it all enough.

Side Hustling During Grad School

04:44 Emily: Yeah. Let’s take a pause there because I think you were in not only a unique position because of your familial upbringing, but also because of your field, computer science, which is so highly employable with just a bachelor’s. Maybe the most of any academic field of any of my guests. So you got some great jobs right after undergrad, and then also continued to side hustle in graduate school. Now I’ve noticed — this is anecdotal, you can tell me if this has been in your observation as well — that computer science is the field that is maybe tied with engineering, but most likely to allow internships and encourage internships and other kinds of consulting and side work during graduate school. So there’s a very big, in my opinion, cultural difference between computer science and perhaps engineering, and then like the biological sciences, the humanities. Can you elaborate on that a little bit?

05:37 Gillian: Yeah. I think that’s a great observation, Emily, and it’s actually something I didn’t even realize was unique until I became a professor because I just thought, well, of course that’s what you would do. You go off to industry. It’s very much encouraged. It’s very much a part of the culture. There are industrial research labs, which I think is a piece that helps alot. So when you talk about interning as a PhD student in computer science or information science or other related fields, you’re typically going to a company that’s going to allow you, and in fact, encourage you to publish the work that you do while you’re there. And so not only are you making lots of money, typically more money in the summer, then you’ll make throughout the entire rest of the year, working at the university, but you’re also doing it in a way that advances your career and helps you publish and helps you build a network with researchers outside of the Academy. And I do think that you’re right, that’s quite unique, although growing a little bit more in other fields, but certainly not to the extent that you see in computing.

06:35 Emily: Yeah. And I don’t mean at all to set this up, like this can only happen inside computer science and never happens elsewhere. I just think that, yeah, in other disciplines, we need to take a page out of what’s going on inside computer science and engineering. And maybe it’s not formal internships, like maybe the structure isn’t quite there yet inside academia to allow for that. Like you said, maybe there aren’t publishing opportunities outside of academia in other fields, the way there possibly is in computer science, but I just think that people in other disciplines, it helps to open your mind a little bit to what’s possible in terms of internships or, you also mentioned consulting, like, can you elaborate a little bit more about that? These kinds of things that are potentially possible, even for people in other fields, if they seek out the opportunities. It might not be presented to them in the way that it is inside computer science, but doesn’t mean it’s not there.

07:21 Gillian: Yeah, I think that’s a great point. What I typically hear from faculty who are worried about their students interning, and this is true by the way, within computer science as well. There are some faculty who don’t like their students to intern, although it’s much more rare than other disciplines. But what I typically hear is, “well, how are they going to get their work done? How are they going to finish their dissertation?” All of those kinds of things. What I have seen in my career, and I’m actually trying to collect the data right now to do a study on this at UCI, to see if we can see if my anecdotal experience holds out across more people, is that actually, not interning or interning it doesn’t slow you down or speed you at particularly much. I did three internships at anywhere from three to five months while I was in graduate school and still finished in five years and did not have a master’s going in. And that’s not to say that I’m somehow special or so fast and so wonderful. But actually what I think is happening is you give your brain a little break from the dissertation and it’s amazing how much more quickly you can actually work on it.

08:25 Gillian: When I see students, and I do have them here, who they can’t intern, they can’t go away for whatever reason, perhaps they have family obligations or other things, and they’re not going to just move to the Bay area for the summer, things like that. Those students they’re not any faster. They really aren’t. And what I see them doing is churning a little bit, and really thinking through their dissertation almost too much. So I would encourage people in any field to seek out those consulting opportunities, even if it’s just do something for a few hours a week, write copy for somebody. Do some beautiful graphic design, if you’re an artist. Do some statistics. I mean, the amazing thing is how much people out in industry need consultants to just do basic statistical analyses, which most of our students in both the behavioral and physical sciences are very skilled in doing. Give your brain that break away from the dissertation and I actually think it speeds you up.

09:25 Emily: Yeah, I actually really agree. I did not intern or anything where the long monotony of the six years I spent in graduate school was not broken up by periods of fresh, different work in any way. That is one of my semi regrets of that time. I want to throw another like possibility in here, not just internships, not just consulting, but something that may be a little bit more palatable to academics, which is a fellowship. Doing a professional fellowship is also sometimes possible and may be something that your advisor is more likely to look favorably upon than some of these other kinds of work. For example, after I finished graduate school, I did a three month science policy fellowship at the National Academies in DC. That fellowship is available to current graduate students, as well as recently graduated PhDs. That’s just another kind of thing you can consider. I had a previous interview, which I’ll link in the show notes with Vicky Johnson from Pro fellow. She runs a database where you can look for these kinds of opportunities for professional fellowships, as well as fellowships that might fund you. Go check that out if you’re looking for something, something else to do that’s going to give you this wider network, this different kinds of experience to stimulate your brain in a different way than just the research you’ve been doing.

10:37 Emily: Okay, so very exciting what you were able to do, what other students could potentially be able to do. Can you say a few more words about how these opportunities for side hustling and interning that you took in graduate school, built your career and set you up for your post PhD job or jobs?

10:54 Gillian: Absolutely. They’re really essential and are a big part of my career story. One of my mentors at Intel actually wound up being on my thesis committee in the end and has continued to be a really wonderful mentor to me throughout my time. Lots of other interns — one of the things that’s great about interning is you meet a bunch of other people who are PhD students at other universities, or sometimes undergraduate or master’s students as well, and they become a part of your professional network. Often companies really roll out the red carpet for interns over the summer. And so you’re going to these fun events and you really get to know a lot of other people. That becomes a really essential part of who you are 20 years later, and I look back now and people that I met as part of an internship that aren’t in my field, that I never would have met otherwise, are some of my good friends now and they’re also professional colleagues.

11:51 Gillian: The other thing I would say though, is it’s not just the industry or the research internships or the fellowships or the kinds of things we’ve been talking about. I sort of joked earlier that my favorite job in grad school was driving the beer cart at the golf course. And I think sometimes we can tend to look down on those kinds of jobs or feel like, well, the only reason you’re doing that is to make a little extra money because we don’t pay grad students enough. Sure. Those things are probably all true, but it’s also the case that I drove around in the most beautiful setting you can imagine and brought all of my books and journal articles with me and parked on the side and read. And again, just got a head break. Just got out of my home, got out of my lab, all of those places. Meet interesting people. You never know who you might get to know and think about in these places. So whatever this sort of side hustle is, I think it’s really good for your brain and for your mental health and for your network.

Side Hustling Post-Grad School

12:49 Emily: So in the jobs that you’ve had after your PhD, have you continued to work on the side and still develop and maintain those networks? Or have you been an academic and solely focused on that?

12:02 Gillian: I am apparently not able to focus on one thing at a time ever. I think that’s okay in academia, actually. It’s part of what makes life so interesting. But no, I’ve absolutely continued to do variety of side hustles. So one of the things is, I took a break. As soon as I got my shiny, new assistant professor job, I went and went back to Roundarch and worked as a consultant again, and just really got to…I always talk about it as cleaning my brain. I was in the slog of writing this dissertation and it’s so painful. You finally get it over the line, and back then we had to measure the margins and do all of this painful stuff, and turned it in and went and got to fly around and talk to people about building websites for a while. That felt really good.

13:53 Gillian: Then I remembered why I left consulting in the first place, because I got kind of bored with it, and got to start my assistant professor position. That cycle has been really important throughout my career. I’ve continued to do consulting on the side, in terms of both technology-related consulting and user experience, and so on. But also because of my research in the autism space, I’ve been able to consult with a lot of folks in K-12 and in special education and help shape where the state of California is going in terms of our care and support of people with autism and related conditions. That’s been valuable both in terms of feeding my research and really understanding what’s out there practically, but also in terms of feeding my own ability to exercise different parts of my brain.

14:40 Gillian: I would also say, academics, they won’t always refer to it as a side hustle — we like to be very pure — but writing books is basically the ultimate side hustle, as far as I’m concerned. We get judged on it because it’s part of the tenure and promotion process. But if you write the right book, that generates all kinds of interesting things — speaking opportunities, consulting opportunities, other things that I think can continue to be important no matter what field that you’re in.

15:11 Gillian: I took it a little further than most in terms of side hustling, which is I started out doing a little bit of consulting for a couple of founders that I knew well from a startup and wound up running the entire company. That’s probably more than most people will do, but I did spend a couple of years as a CEO. What I’ll say there is sometimes your side hustle becomes your main gig for a little while. I took some leave from the university so that I could do that. And I would say to people, if that happens, go for it. You can take a leave of absence. So often people think, “Oh, I can’t get off the grad student treadmill” or “I can’t get off the tenure treadmill” or whatever. You can take a leave of absence for a couple of years and academia will always be here. It’s obviously not for everyone, but I really value the time that I had being able to run a small company and watching them now at a distance under someone else’s leadership and continuing to excel is so pleasurable for me.

16:10 Emily: I’m really glad that you brought up there can be these blurred lines between what is your job as an academic and what is stuff you do on the side, because all of it can be related to your area of expertise and just expressed in different ways.

How Side Hustles Are Viewed in Academia

17:14 Emily: Can you talk to me about structurally, how this has worked for you? You just mentioned you’ve taken official sounds like full time leaves of absence from your job, but do you have, for instance, like an 80% position or have you at some points to allow time for these side things or have you always been kind of a hundred percent at the job and just pursued these outside of…I don’t know, how does this work, time management wise and also official position wise?

17:42 Gillian: Yeah. So official position wise, it really depends as a grad student, it’s fairly easy to sort of zoom in and of things. I did, what’s called an off cycle internship one year and was away for fall semester. Just a matter of filing some paperwork with the university to allow me to do that. That allowed me to be at my internship for five months instead of just sort of the normal three of the summer, which was really, really valuable. It also allowed me a lot of access to people who get a little maxed out in the summertime because there’s so many interns around. I would definitely recommend thinking about being creative with those kinds of things.

18:19 Gillian: Many universities, even if you’re a full time, faculty member have consulting allowances. You can maybe consult X number of hours per year and the university’s not bothered by it. If you do more than that, then they’ll typically want you to take some sort of reduced time or leave of absence, things like that. I would encourage people to really find out what the rules are at their different universities. It may be highly variable. Then the final thing is, my mother always says to me, if you don’t ask, you know, what the answer is. I really tried to take that to heart, and when I was starting working at AVIAA, I was aware that I was also running a master’s program that I was quite attached to, and I didn’t want to let that go. I sort of sat down and tried to think about, okay, if I keep running the master’s program, teach this little bit that will go with that, and I keep supervising the PhD students I have, because you don’t let your PhD students drift, even if you go off to do something else, what does that kind of look like time-wise? I went to my Dean and my department chair and said, I’d like to take a reduced workload. So basically these are the things I’m going to do and not going to do anything else. What does that look like percentage wise? And I’ve talked to a lot of different people who’ve done this. Anywhere from they’re employed at the university 5% time to maybe they’re employed 50%, 80%. You sort of get to different levels and whatever you think is appropriate. My Dean and my Chair looked at that and said, “yeah, that seems about right, we’re good with that,” so I was able to take reduce time, but not a full leave away.

20:02 Gillian: I would just say to people, you never know if you don’t explore it. So think about it and investigate it because you may well be able to do these things, partially. I also was always very upfront with our board of directors and with the founders of the company that I was still going to be doing XYZ things affiliated with the university. And they were good with that. From all of their perspectives, the idea that I would maintain a connection with this wonderful place of scholarship that would potentially bring us excellent new hires and other kinds of people was great. On the surface of it, and before I made those requests, lots of people said to me, “Oh, you can’t do this or you can’t do that,” but I thought, well, maybe. Let’s just ask and find out. So I would encourage people to ask.

20:47 Emily: Yeah, I’m so glad you brought this up and I want to take kind of a grad student or postdoc, spin on that question. Because what I hear a lot from especially graduate students is “I’m not allowed to have a side job or a side income,” and either that’s because of the terms of the assistantship that they have, or the terms of the fellowship that they’ve accepted, or it’s just something cultural that they’ve absorbed, or maybe their advisor said something more explicitly, but I think there’s a range of like, what’s actually permitted, either legally or contractually. And of course, for international students, that’s a whole other discussion of what the visa allows, which is nothing except for like official OPT kind of stuff. But for citizens or residents in the US, can you just talk around this a little bit of is it worth asking, even if you think the answer is going to be no, look at your contract, or what?

21:44 Gillian: I think it’s always worth asking. And I’ll answer that in a couple of ways. One of them is, and I saw some really interesting research, I’ll try to dig it up and send you the link if I can find it. But essentially, if you ask grad students, what do they think their advisor wants of them? They’ll essentially say to get an R1 tenure track position, to have this like life of the mind, to be a mini version of their adviser. And then if you ask the advisors, what do they want of their students, broadly, in a very generic, hypothetical, meta kind of way, they’ll say the same. But if you ask the faculty, think about your last X number of students — I forget what it is, two, three, four, whatever — who’ve graduated with you. What do you think you want for them? Suddenly you start to see industry jobs, government jobs, community colleges, other kinds of two and four year opportunities. Not these sort of tenure track PhD granting institution kinds of jobs. And it’s because we’re sort of inculturated in a broad way to think, yes, we want to create more little faculty that look just like us. But if you think about specific students, you often recognize, well, actually their passion and their strengths lie elsewhere.

23:02 Gillian: It’s that disconnect that I think many of the students are feeling. They know that their advisor, in a broad sense wants this thing, but maybe it’s not for them. If they really open up that conversation, I think most faculty really do want to support them and be open to that. I think it’s always worth asking. Also, the truth is, if you’ve got one of those few faculty that just aren’t interested and aren’t going to want to support you, no matter what, for me, I would want to know that because maybe I need to find a different person to work with, or maybe they stay my primary supervisor, but I find some additional mentorship on the side that can help me get to the places I need to go and that I want to go. I think it’s always worth asking.

23:46 Gillian: The other thing I would say is you can interpret contracts in all kinds of ways, and I’m not an employment lawyer, but what I can say is even if officially our ruling, as the University of California, is that people don’t have jobs outside, we don’t own your life. If I worked at Google or I worked at Deloitte again, or I worked wherever, they don’t get to tell me that I can’t go out on a Saturday morning and be a barista, if I want to. It’s the same here. We don’t own your personal time and your free time. So if it’s not disrupting your job here as a grad student researcher or your job here as a TA, I don’t see that we have a whole lot of standing to tell you that you can’t do it.

24:30 Emily: I’m really glad to have your perspective on, because I think this is something that students…I’ll call it a limiting belief. Like it’s a limiting belief that students have. I can’t, I’m not allowed to have a side job, have a side income. And I, like you, think it’s more important to examine this spirit of that rule or that cultural norm, because really the point is you want to be making progress on your dissertation. You want to put really good energy towards that on a consistent basis. And yeah, your advisor, or you, probably don’t want to be leaving at 5:00 PM every day to go to your second job as a whatever. But there’s so many jobs that you can have now in the internet age that you can do on your own schedule. That’s flexible. It’s not going to interfere with your work. As we talked about earlier, that will give you different kinds of energy and different kinds of stimulation that you aren’t getting through your primary position. I do like to think about the spirit of this. Like, is it interfering with your work? Does are advisor even really need to know about it, if they would never find out naturally. Now for these professional development opportunities, and especially something like interning, obviously you need to involve your advisor, potentially some other people in that conversation, but for a side gig, that’s a few hours a week, maybe they don’t need to know, if it doesn’t interfere.

25:44 Gillian: And you know, you never know. It’s not just that they don’t necessarily interfere, but they can also be argumentative in ways that you could never expect. Actually here’s a great example. I went to grad school with a woman who was a quilter on the side, made absolutely beautiful quilts. And I think sometimes she sold them, but just gorgeous. It takes a lot of time to be a quilter, but it didn’t interfere with her work. In the end, she actually developed this really incredible piece of software that helps teach children geometry, using quilting as a metaphor because of this thing she was doing on the side. Now, if someone had told her stop quilting, it takes up too much time, then she never would have done what she did for her dissertation.

26:29 Emily: Yeah, it is so, so beneficial to have these other areas of your life to give you not only balance, but to help you think about your work in different ways, and just to be like a whole person. You can still be a whole person during your PhD training, while on the tenure track, it’s all encouraged.

Non-Academic Careers

26:44 Emily: So let’s pivot a little bit to talking about non-academic careers. You’ve obviously had an academic career, as well as nonacademic aspects of your career. How can students who, as we were talking about earlier are statistically unlikely to end up in a tenure track position, even if they want to keep their hat in the ring for that sort of thing, how can they simultaneously prepare for a career outside of academia?

27:10 Gillian: Yeah, that’s a great question. The first thing I’ll say is, I think we need an educated workforce and an educated society, and the idea of having loads and loads of people with PhDs that work in places that are not universities is really appealing to me. I think it’s good for the world. I just want to sort of admit to my positionality there. But what I’ll tell you is I know a lot of CEOs of both big and small companies. I know a lot of executive leaders and they come to me and they ask me, where can they find people who can quickly digest an enormous amount of information, write up interesting, analytical thoughts about that. Talk about it with other people, teach it to them, explain it to them and figure out what we do next. And I’m like, that’s someone with a PhD. They’re looking all over business for people with those skills. It’s exactly what we teach, no matter what your field. It’s absolutely the case that the market needs it.

28:10 Gillian: Now we have some work to do to translate and help people understand and help people be marketable and all of those things, but that kind of work and the kind of critical thinking skills that people develop doing a doctorate is absolutely what the highest levels of leadership in the corporate world need desperately. Obviously also in government and nonprofits and other places like that. What I would say to people is just be thinking all the time about how do I translate what I do into something that other people can understand. And I spend a lot of time with people who want to translate an academic CV into a more typical resume, just helping doing that translation work. I would encourage people to seek out people like myself, who’ve had these different kinds of careers. I’m happy for podcast listeners, you can feel free to reach out to me. I might not respond right away, but I’m happy to look at things, and just figure out how do you explain yourself out into the world? That’s the first thing I would say.

29:12 Emily: I actually want to jump in there and plug a colleague of mine, Beyond the Professoriate, Jen Polk and Maren Wood’s business. This is the kind of space that you can join and learn these types of skills, see examples of how other people have made exits from academia into other interesting careers, and have community with other people who are going through the same process. Beyond Prof is one of the places where you can do that.

29:37 Gillian: Absolutely. I direct people to Beyond Prof all the time. That’s actually a better resource than me. They will respond to you more quickly. Definitely check those out. The other thing I would say is, and I’m going to pick on you a tiny bit, Emily, is even using that phrasing of exiting the university, right? One of the things that I sort of bounce up and down on a lot around here is the language of alt-ac, and post-ac, and academic exits, and these kinds of things. I don’t want to take away from people’s feelings. If that’s a helpful way for people to express what they’re going through, then by all means, go ahead, but we don’t have that same language for undergraduates who finish an undergraduate degree. We don’t have that same language for lawyers who finish a JD or medical doctors who finish an MD or any of these other folks.

30:30 Gillian: One of the things that I think is important in culture change, and we need to do this internally at the university, for sure, but also I’d like to do it everywhere is to say careers, they’re not linear. People take all kinds of curving paths and I would very much like to see the university and academia in general be a sort of lifelong learning and scholarship partner to people for moments when they’re both in and out of where we are. Now, I recognize I’m in a place of privilege. This is a much easier thing to do in my field than in others. That is what it is. But I think we need to start with changing some of our language and some of our culture around this notion of, if you don’t get that tenure track job or get that right postdoc right after you’ve finished, that the world is ending for you. No, academia will always be here. Go do interesting things, come back, let’s reconnect, and let’s find ways that we can make those boundaries a little bit more porous.

31:28 Emily: Yeah. I really appreciate that. I totally agree with you. I’ll just leave it at that.

31:34 Emily: Sort of along those lines, what about de-stigmatizing these nonacademic careers? You’ve just mentioned language changes, but are there any other ways that people inside and outside academia cannot be looking down on non-academic careers as the consolation prize for not getting a tenure track position, which for the record is definitely not how I feel about them.

31:59 Gillian: Yeah. Well, you know, I will tell you, again, this is a case where being in computing or engineering is a bit easier. My students go off and make two to three times what I will ever make, and more if they get the right stock options, and money goes a long way for de-stigmatizing all kinds of things. That’s one thing to just kind of know, but I think that’s also true in other fields. There’s lots of ways in which you can have a very healthy, productive, happy, and financially successful career outside of the Academy, and that’s an important thing for people to recognize, and to say that you’re not selling out or failing or any of these other things, if you choose to take that kind of path.

32:43 Gillian: The other piece, I think is academics, faculty tend to the people who’ve been really successful in a very particular model of existing. We’re really good at school, the way school was built. The same is true, by the way in K-12. People who become K-12 teachers are often people who were really good at school, and so it’s very hard to reform a system that’s run by people who are really good at that system. We sort of self select for this reinforcing behavior. Some of it is us taking good, long, hard looks at ourselves. And you start to see this, I think, in the undergraduate and master’s curricular reforms that we’re starting to see, where people are recognizing, hey, maybe Sage on the Stage isn’t the best way to teach. And maybe we should be thinking about active learning. Or in the graduate curriculum for master’s students, maybe we should be thinking about modular learning. That you can do pieces of it now and another piece in a couple of years and so on, and put together a collection of experiences that make the right professional degree for you.

33:50 Gillian: I think that gives me hope that if we’re starting to make reforms in K-12, and we’re making reforms in undergrad, we’re making reforms in our professional degrees, it’s only to some degree a matter of time until we can make some reforms in the PhD world and help people to understand that there are different ways to complete a doctorate, and there are different ways to have a career afterwards. It does take activity. It does take bringing back. We have an alumni speaker series here that we bring back people who did their PhDs here, who have exciting, really cool careers, running science museums, or doing policy or running a startup. And we need to show off more of those success stories too.

34:29 Emily: Yeah, I do see, as I visit universities and speak there for the financial stuff, I’m often included in their conversations around this sort of thing. Well, Emily, you’re in entrepreneurship, how do we encourage our students to consider this path as well? And they show me what they’re already doing. It’s percolating. The idea is there. It’s popping up different places. I don’t know how much it still needs to be included actually in the standard path to doctorate rather than just some side extra thing you might engage in. That would be really great.

Best Financial Advice for PhDs

35:01 Emily: Gillian, I love the ideas you’ve presented in this interview. Thank you so much for giving it. I’m just going to conclude with a question that I ask of all of my guests, which is what is your best financial advice for another early career PhD? Could be related to something we’ve talked about today, or it could be something entirely other,

35:19 Gillian: That is a great question, and I thought this was your hardest question, by the way, that I really had to think about. But I think the first thing I would say is get through whatever you’re going through as fast as you can. You will never recover financially from being out of the workforce for however many years it takes you to do a PhD, even if you are the fastest PhD student in the world. The faster you can go time to degree, get done. I always say the only good dissertation is a done dissertation. Get into the workforce as quickly as you can. And the same thing is true for tenure, or for becoming a full professor, for becoming whatever. Yes, these things take time, but just get through them and don’t worry about making it perfect. Each of these things in academia, it’s a pass/fail exam, so pass and move on to the next thing. That’s the first thing I would say.

36:15 Gillian: The second is make sure your summers are paid. Whether you’re a junior faculty member or a PhD student or whatever, that’s a quarter of your year. And I’m always amazed at how many people take it completely unpaid. There are a variety of ways to get it paid. Whether it’s summer teaching, writing grants, internships, consulting, any of these side hustles we’ve been talking about, but the idea that you would lose a quarter of your income at a very young age, when people are in grad school, postdoc-ing, or as assistant professors, those are your prime earning years, and you’re setting yourself up for the future. So figure out a way to get your summers paid. You work for 12 months, so you should get paid for 12 months, is my general thing.

37:00 Gillian: Then the last thing I would say is be mindful of what free labor you give away. Academia is just chock-full, and I know you’ve talked about this on your podcast before, of free labor. We review for free. We give talks for free. We write for free. And that’s okay. That’s a certain amount of the culture and we should be doing certain things voluntarily, but some things you really should start thinking about getting paid for. And you just need to think about that before you decide, am I going to give up however many hours of my time to this? Well, your time is really, really valuable, so treat it like it’s really valuable.

37:36 Emily: I think it goes back to a point you made earlier, which is just asking. If you’re being asked to do some special thing, like speaking, for example, if you were going to agree to do it for free, like you were just talking about why not just ask, Hey, what can you give me an exchange? Pay, expense reimbursement, some other thing of value to you. Just inquire and know that you’re worthwhile. This goes to imposter syndrome as well. Within academia, we tend to feel that we’re not special. Our skills are not that valuable. Everyone else has the same skills and the same knowledge. That is definitely not true, first of all, even inside academia, but definitely, definitely outside, you will be seen as a unique, special thing, as you were talking about earlier, with your PhD and the skills and knowledge that come along with it.

38:19 Gillian: Absolutely. And every time I say to people, whatever number you’re thinking in your head that you’re worth to give that talk or to consult on that project, double it, and you might be close to the number that’s actually what you’re worth.

38:32 Emily: Yeah. Great, great advice again. The worst they’re going to say is no, or maybe they’ll try to negotiate you down, but if you were going to do it for free or little anyway, hey, that’s not too bad.
